Job Description (Must have Flexible Schedule) The Heritage Downtown, an independent senior living community in Walnut Creek, is seeking an energetic, dependable, friendly, and compassionate Activities Assistant to join our team. This position works closely with and supports the Activities Manager in creating an active, engaging, and welcoming community for our residents. The Activities Assistant will help coordinate and facilitate activities, social events, entertainment, excursions, classes, and other programs designed around the interests and lifestyles of independent seniors. This is a hands-on position for someone who genuinely enjoys working with seniors, meeting new people, organizing events, and creating opportunities for residents to connect and have fun. Responsibilities Assist the Activities Manager with the planning, organization, setup, execution, and cleanup of resident activities, programs, and special events. Help facilitate a variety of activities, including social events, games, exercise and wellness activities, educational programs, entertainment, arts and crafts, holiday celebrations, and resident gatherings. Assist with planning and coordinating resident excursions, including restaurants, shopping trips, entertainment, cultural attractions, and other local destinations. Accompany residents on scheduled excursions and assist with transportation and general group coordination. Help prepare activity rooms and event spaces, including arranging tables and chairs, setting up supplies, decorations, refreshments, and equipment. Encourage resident participation and personally invite and engage residents in community activities. Build positive relationships with residents and learn their interests, preferences, and activity suggestions. Assist the Activities Manager with maintaining and communicating the monthly activities calendar. Help coordinate entertainers, instructors, speakers, vendors, and other outside activity providers. Assist with resident sign-up sheets, attendance records, excursion lists, reservations, and other activity-related documentation. Help create flyers, signs, announcements, and other materials promoting upcoming activities and events. Communicate activity schedules, changes, and reminders clearly to residents and staff. Assist with special events, holiday celebrations, resident parties, happy hours, and community-wide programs. Help maintain activity supplies and equipment and notify the Activities Manager when supplies need to be reordered. Assist with taking photos of activities and events when appropriate and approved. Work collaboratively with other Heritage Downtown departments to enhance the overall resident experience. Help the Activities Manager develop new programs based on resident interests, feedback, participation, and community needs. Step in to facilitate scheduled activities when the Activities Manager is unavailable or assisting with another program. Perform other activity-related and administrative duties as assigned by the Activities Manager or community management. What We're Looking For The ideal candidate is someone who is naturally outgoing, positive, patient, organized, and comfortable interacting with seniors. You should enjoy being active throughout the day and be comfortable transitioning from setting up an event, to leading an activity, to accompanying residents on an excursion, to helping with administrative tasks. Most importantly, we are looking for someone who understands that great activities are about more than filling a calendar—they are about helping residents build friendships, stay engaged, explore their interests, and enjoy being part of a vibrant community.
Requirements Schedule Flexibility:
Must have a flexible schedule, as work hours may vary based on scheduled activities, special events, excursions, evenings, weekends, and holidays. Dependable, punctual, friendly, and professional. Genuine interest in working with seniors. Excellent interpersonal and customer-service skills. Strong verbal and written communication skills. Strong organizational and time-management skills. Ability to follow an activity calendar and manage multiple responsibilities. Comfortable leading or facilitating activities in front of groups. Ability to work independently when needed while also taking direction from and supporting the Activities Manager. Comfortable accompanying groups of residents on community excursions. Ability to interact professionally and respectfully with residents, families, coworkers, entertainers, vendors, and community partners. Basic computer skills required and willingness to assist with calendars, flyers, sign-up sheets, email, and other activity-related materials. Canva experience is a plus. Preferred Qualifications Previous experience working with seniors is preferred. Previous activities, recreation, hospitality, events, customer service, senior living, or community-programming experience is a plus. Experience planning or facilitating group activities and events is a plus. Knowledge of the Walnut Creek and greater East Bay area, including restaurants, entertainment, shopping, and cultural destinations, is a plus. About the Role The Activities Assistant is a support position working under the direction of the Activities Manager. The role is focused on resident engagement, recreation, social programming, events, and excursions within an independent senior living environment. The Heritage Downtown is not an assisted living community, and this position is not a caregiver or medical position.
