Job Description

Overview We are seeking a highly organized and enthusiastic Part-Time Event Coordinator/House Manager to join our team. The ideal candidate will be responsible for executing and overseeing various events, ensuring that each one runs smoothly and meets the expectations of our guests. This position offers flexible hours and the opportunity to work in a dynamic and creative environment.

Responsibilities Event Planning :

Collaborate with Event Manager to understand the event goals and objectives. Develop comprehensive event plans that outline timelines, themes, and logistics. Organizing event details from conception to completion.

Vendor Management :

Meet with vendors and suppliers, including caterers, venues, decorators, and audiovisual teams as they arrive on site for load-in/load-out as needed.

Logistics Familiarization :

Prepare for event by reviewing the logistics of events, event notes, including venue setup, technical requirements, and catering services. Conduct proactive inspections of the building and event spaces prior to guest arrival to ensure safety, functionality, and overall readiness. Review and verify all entrance and exit plans, inspect egress routes for compliance and accessibility, and identify and resolve potential issues in advance. Maintain a proactive rather than reactive approach.

On-Site Management :

Act as the main point of contact before, during, and after events, ensuring everything runs according to plan. Troubleshoot any issues that arise to keep events on track.

Post-Event Evaluation :

Assist in collecting feedback with Event Manager from clients and attendees to evaluate the success of events and identify areas for improvement. reporting to management of incidental costs as well as any issues.

Food and Beverage :

Serve as support role for Food and Beverage Manager primarily for bar set up and stocking to prepare for public and private events including internal fundraisers.

House Management:

Oversee and manage Volunteer Scheduler Pro (VSP) the volunteer database used for show assignments and scheduling of volunteers. Create show sign ups. Conduct pre-show usher briefings, assign positions, and oversee event layout. Manage volunteer coordination, ensuring appreciation, encouragement, and effective communication. Guide the volunteers by creating a hospitable, organized, and respectful environment, setting the tone that shapes the overall patron experience. Coordinate with the box office for ticket sales updates, handicap seating, and addressing any ticket-related issues. Collaborate with the Production Manager to organize merchandise tables, autograph sessions, meet and greets, and ensure smooth event operations. Distribute playbills to entries or ushers during pre-event briefings. Prepare House Management Reports and Volunteer Position lists. Set up sign-in kiosk and ticket scanners. Carry out pre-show usher briefings, assign positions, and oversee event layout. Greet patrons upon arrival and supervise the lobby and house areas during events. Communicate with the Production Manager to ensure the lobby is clear for the show's start. Stay alert and approachable during shows, providing assistance to guests as needed. Empowered to make real time Front of House decisions related to patron experience and building flow while escalating larger issues. Responsible for crowd management, accessibility needs, and coordination with security when situations arise. Providing situational awareness involving the safety and security of guests. Using House Management report, document door opening times, show times, drop counts, and any issues, accidents or guest incidents encountered during events.

Qualifications Education :

A degree in hospitality management, event planning, marketing, or a related field is preferred but not mandatory.

Experience :

Previous experience in event coordination or project management is highly desirable.

Skills :

Excellent organizational and multitasking skills Strong verbal and written communication abilities Proficiency in Microsoft Office Suite. Ability to learn new software as needed (Training available for any A/V or venue specific tech as needed) Creative problem-solving skills and adaptability

Strong attention to detail Ability to work independently and as part of a team Positive attitude and enthusiasm for event planning Excellent customer service skills Working Hours and Physical Expectations Part-time position requiring flexible availability, including evenings and weekends based on event schedules. Standing for long periods of time and movement throughout the facility are required. Frequently lifts and carries up to 50 pounds; occasionally moves heavier items with assistance. Compensation
