Job Description

Job Overview The Bar Administrator provides administrative and operational support for O Bar, helping ensure the department remains organized, compliant, financially accountable, and prepared for daily operations, events, and programming. This position serves as a key liaison between O Bar and Property Operations, Finance, Events, Sales, vendors, and other departments. The Bar Administrator is responsible for maintaining accurate records, coordinating purchasing and invoices, supporting inventory controls, maintaining compliance documentation, assisting with scheduling and payroll administration, and coordinating the administrative requirements associated with O Bar events and programming. This is primarily an administrative and coordination role and works closely with O Bar leadership and bartenders to support efficient operations. Essential Duties & Responsibilities Administration & Financial Controls Maintain organized O Bar operational and financial records. Track invoices, purchase orders, vendor statements, and outstanding payments. Coordinate with Finance to ensure expenses are properly coded and recorded. Assist with the preparation and reconciliation of the monthly O Bar P&L. Maintain supporting documentation for revenue and expenses. Track departmental spending against budget and escalate significant variances. Maintain records related to contracts, vendor agreements, pricing, and purchasing. Assist leadership with weekly and monthly performance reporting. Inventory & Purchasing Coordinate beverage, supply, and operational purchasing based on approved par levels. Maintain current vendor and product lists, including pricing. Assist with weekly/monthly liquor, beer, wine, and supply inventories. Track inventory variances, waste, breakage, transfers, and other adjustments. Coordinate receiving and ensure deliveries match approved orders and invoices. Monitor inventory levels and communicate purchasing needs to leadership. Support cost-control initiatives designed to manage beverage COGS and reduce unnecessary waste. Compliance Maintain required operational and compliance records for O Bar. Track required employee alcohol awareness cards, health cards, certifications, and expiration dates. Assist leadership in maintaining compliance with applicable liquor, health, safety, and company requirements. Maintain inspection documentation, operational logs, and required records. Immediately escalate potential compliance concerns to Property Leadership. Staffing & Payroll Administration Assist with preparation and maintenance of employee schedules. Track attendance, schedule changes, timekeeping issues, and payroll-related documentation. Maintain current employee records and required certifications. Coordinate onboarding documentation and administrative requirements for new O Bar team members. Assist leadership with identifying staffing needs for regular operations, groups, private events, and special programming. Events & Programming Support Maintain the master calendar for O Bar events, activations, private events, hotel groups, and programming. Coordinate administrative and logistical requirements with Events, Sales, Operations, Security, and other departments. Assist with vendor and partner coordination for O Bar programming. Track event requirements including staffing, beverage needs, menus, setup, purchasing, entertainment, and other operational needs. Maintain event documentation and assist with post-event revenue and expense reconciliation. Support leadership in developing and executing seasonal promotions, activations, partnerships, and revenue-generating programming. Operational Support Serve as an administrative point of contact between O Bar and other hotel departments. Maintain O Bar SOPs, checklists, forms, vendor information, and departmental files. Assist with updating menus, pricing, promotional materials, and operational documents. Support opening/closing documentation and cash-control processes as needed. Identify operational issues and communicate them promptly to O Bar and Property Leadership. Provide administrative support during high-volume periods, special events, and group business as necessary. Previous administrative, hospitality, food & beverage, restaurant, bar, or hotel experience preferred. Strong organizational and administrative skills. Experience with invoices, purchasing, inventory, scheduling, or financial reporting preferred. Strong attention to detail and ability to maintain accurate records. Ability to manage multiple priorities and deadlines in a fast-paced hospitality environment. Strong written and verbal communication skills. Proficiency with Microsoft Office, Google Workspace, POS/reporting systems, and scheduling platforms preferred. Ability to work collaboratively across multiple hotel departments. Nevada alcohol awareness and food-handler requirements must be maintained as applicable to the position. Accurate and timely administrative and financial documentation. Effective invoice and purchasing controls. Accurate inventory records and timely reconciliation. Maintenance of required compliance documentation. Effective coordination of O Bar events and programming. Accurate scheduling and payroll administration. Timely communication between O Bar and supporting hotel departments. Support of departmental revenue, cost-control, and profitability objectives. The Bar Administrator provides the administrative infrastructure necessary for O Bar leadership and bartenders to focus on guest experience, service, revenue generation, and successful programming, while ensuring the department maintains strong financial controls, compliance, organization, and operational accountability.
Pay:
$22.00 - $25.00 per hour Expected hours: 30.0 - 40.0 per week
