Assistant Clubhouse Manager - The Kirtland Country Club, Willoughby, Ohio Founded in 1921, The Kirtland Country Club is a 400-member family-oriented country club located in Willoughby, Ohio. Within the campus layout, the Clubhouse features two indoor a la-carte dining rooms, a newly constructed covered outdoor dining area, three banquet rooms, and one meeting room. Six outdoor tennis courts, 4 pickleball courts, 3- court indoor racquets facility, 3 Platform Tennis courts, Men's Grill, and an Olympic swimming pool with snack bar surrounding the Clubhouse. The Club also offers Skeet Shooting in the Winter months, as well as the recent addition of a Golf Learning Facility featuring indoor/outdoor hitting bays in addition to the Trackman simulation and training equipment. The Assistant Clubhouse Manager is an integral part of the Management team and works closely with the Catering Manager, Assistant General Manager, Executive Chef, and Clubhouse Manager. Brief Job Description The Assistant Clubhouse Manager supports the Clubhouse Manager in the daily operations of the Club's Food & Beverage outlets and plays a key role in delivering an exceptional experience for members and their guests. This position requires a polished, professional individual who is personable, energetic, and highly organized, with a passion for hospitality and a hands-on leadership style. The ideal candidate demonstrates strong attention to detail, a commitment to service excellence, and the ability to build meaningful relationships by recognizing and anticipating the needs of members and guests. The Assistant Clubhouse Manager is responsible for supervising the daily operations of all dining outlets and bars, and support staff while ensuring the highest standards of hospitality, cleanliness, and service are consistently maintained. This position recruits, trains, coaches, and motivates staff to deliver exceptional member experiences, conducts regular training on menus, beverages, service techniques, and Club standards, and leads by example during service periods. Working closely with the Clubhouse Manager, the Assistant Clubhouse Manager assists in scheduling, labor management, inventory control, budgeting, and cost containment while identifying opportunities to increase revenue through exceptional service, member retention, and enhanced dining experiences. The position is also responsible for ensuring all opening and closing procedures are completed in accordance with Club policies and operating standards while maintaining a safe, organized, and welcoming environment throughout all Food & Beverage operations.
ESSENTIAL JOB FUNCTIONS
Leadership & Team Management Lead, supervise, and motivate the Food & Beverage team while fostering a culture of professionalism, accountability, and exceptional service. Assist the Clubhouse Manager in recruiting, onboarding, training, coaching, and developing service staff. Conduct pre-shift meetings and ongoing training focused on food and beverage knowledge, wine service, service techniques, and Club standards. Assist with personnel matters, performance management, scheduling, and staff accountability. Serve as the Manager on Duty and provide visible leadership throughout each shift. Lead banquet and service teams during private events, acting as Event Captain when necessary. Ensure all assigned side work, cleaning duties, and closing responsibilities are completed before staff are dismissed. Lead by example through professionalism, integrity, and adherence to Club policies and service standards. Operational Excellence Oversee the daily operations of all dining outlets, banquet functions, bars, and service areas to ensure efficient and seamless execution. Work evenings, weekends, holidays, and all major Club events as required by operational needs. Provide hands-on support by assisting with bartending, food service, beverage service, and dining room operations when necessary. Ensure all opening and closing procedures are completed accurately, including securing Club facilities, reviewing POS activity, and preparing daily operational reports. Maintain comprehensive knowledge of all food, beverage, wine, and cocktail offerings. Ensure dining rooms, banquet spaces, bars, and service areas remain clean, organized, and presentation ready. Remain informed of daily Club activities and coordinate operations to ensure smooth service across all Food & Beverage outlets. Uphold all operational policies, safety procedures, and service standards. Member & Guest Satisfaction Deliver exceptional hospitality by creating memorable dining experiences for members and their guests. Build strong relationships with members by recognizing preferences, anticipating needs, and responding promptly to concerns. Maintain a visible presence throughout the Club to ensure member satisfaction and operational excellence. Provide exceptional wine and beverage service while promoting an elevated dining experience. Serve as the primary management presence during a la carte dining and private events, greeting members and guests and ensuring service expectations are exceeded. Demonstrate a thorough understanding of Club culture, traditions, and member expectations. Compliance and Safety Ensure compliance with all health and safety regulations, food safety standards, and licensing requirements. Monitor and maintain high sanitation and hygiene standards throughout the food and beverage operations. Ensures that all legal requirements are consistently adhered to including wage and hour, federal, state and/or local laws pertaining to alcoholic beverages. Develops and implements policies and procedures for food and beverage departments. Inspects to ensure that all safety, sanitation, preventative maintenance, and other standards are consistently met. Financial Management Assist with labor management and scheduling to ensure efficient staffing levels while maintaining service standards. Support departmental budgeting and cost-control initiatives as directed by the Clubhouse Manager. Assist with monthly beverage inventory, inventory controls, and operational audits. Ensure accurate completion of daily reports, POS reconciliation, and communication of financial information to the accounting department. Identify opportunities to increase revenue through exceptional member experiences, operational efficiencies, and effective team leadership.
