Job Summary
  • Why you'll love this position The Director of Trauma Services (DOTS) Lead Administrative Assistant will support a team tasked to promote trauma informed approaches, manage and expand the Critical Incident Stress Management (CISM) Peer Network for Department of Mental Health (DMH) workforce and implement workforce trauma and wellness initiatives to support DMH employees of Division of Developmental Disabilities (DD) and Division of Behavioral Health (DBH) state operated hospitals, programs and regional offices.

Working hours are Monday through Friday; 8:00 a.m.

  • 5:00 p.m. The base salary offered for this position is up to $53,322.00 annually, commensurate with education and experience. If the selected candidate is eligible for a pay differential, such as retention pay, the total salary may exceed what is listed in this posting.
    Responsibilities
  • What you'll do Job Duties Provide high-level administrative support and assistance to the Director of Trauma Services and other assigned staff.

Serve as logistics coordinator for initiatives, trainings, meetings, and events. Assist with initiative tracking, data management, project dashboards, along with purchasing and invoicing. Perform clerical and administrative tasks including calendar management, proofreading, drafting letters, memos, expense reports, and other documents for staff. Arrange travel and accommodation(s) for staff. Schedule and attend meetings (as needed), note-taking and minutes, creating agendas, and coordinating all meeting logistics (food, materials, speakers, travel, etc.). Receive incoming communication on behalf of staff, review contents, determine importance and summarize and/or distribute contents, as appropriate. Provide phone coverage for the Director and staff, as needed. Provide support to the Department Director's Office, as needed. Perform office tasks including record maintenance and ordering of IT equipment, supplies, and office equipment/furniture. Some travel may be required. Perform other related duties as assigned.   • Extensive knowledge of office administration, clerical procedures and recordkeeping systems. Proficient with Microsoft Office Suite with the ability to learn new or updated software. Ability to create promotional flyers, newsletters and update webpages. Must be able to learn ADA document compliance. Travel to facilities/locations
  • 10% annual travel may be required for in-person meetings, trainings and events.

Ability to move light objects weighing less than 30 lbs short distances. Education & Eligibility Requirements / Preferences High school diploma required, Associate's degree from an accredited university or college strongly preferred. Five or more years of professional experience as a Lead Administrative Support Assistant also required.
