Job Description

Every year, we take senior leaders somewhere most people never get to go. Remote corners of National Parks across North America and beyond. Places where cell phones stop working and nobody cares what's on your business card. They go with their peers, and somewhere along the trail, titles fall away and people are just people again. We're looking for someone to help run the whole operation, and to protect it like it's their own. You won't find a ballroom here, or badge scanners, or a keynote stage. Some days our "venue" is a trailhead at 7am with a storm rolling in over the ridge. About Us Senior leaders carry an enormous amount, and most of it nobody ever sees. They rarely get a real chance to set it down. CxO Ascent exists to give them that chance. We're a public benefit organization and the home of three separate communities: CEO Ascent, CIO Ascent, and CISO Ascent. We're proud to be one of the most transparent executive communities in the world, and our community has taken notice. Our Board of Directors is made up of executives from our own communities, and they hold us to one rule: the people we serve come first. We're an organization with a big heart. The only people with bigger hearts are the ones we serve. Service is our purpose. The Role Most of the work happens long before anyone reaches a trailhead. On a typical day, you'll be building relationships with sponsors, locking down lodging and vendors, mapping out itineraries, getting to know leaders, and keeping a lot of moving pieces on track across all three communities from your home office in Texas. You'll also help shape where we go next. You'll be part of planning our future, supporting our expansion, and dreaming up new ways to serve our communities and help leaders recharge and be their best. What You'll Own 1. Retreat Planning & Execution Plan retreats for each community, from the first idea to the last goodbye Handle lodging, transportation, meals, hikes, outdoor activities, registrations, schedules, and communications Build backup plans for weather, closures, travel problems, and different fitness levels Coordinate vendors spread across remote areas Be on site at retreats and keep everything running smoothly 2. Sponsor & Partner Relationships Own sponsor relationships from the first commitment through final delivery Make sure every promise is kept and every partner feels genuinely valued Be the person sponsors and partners know they can count on 3. Leader Experience & Community Growth Make every leader feel welcome long before they arrive Protect our communities and be there for leaders when they need us most Support outreach to executives who would benefit from joining Help prospective leaders understand what makes Ascent different 4. Planning, Expansion & Innovation Help plan the future of CEO Ascent, CIO Ascent, and CISO Ascent, including new destinations and communities Support our expansion as we grow Find new and better ways to serve each community, on the trail and between retreats Help leaders recharge, reconnect, and go home at their best Bring ideas to the table and help turn the good ones into reality 5. Operations & Organizational Support Turn direction from leadership and the Board into action Keep the whole team aligned on the mission and the plan Use technology and AI to automate repetitive work and keep operations running lean Improve processes, sponsor experience, and leader engagement as we grow Keep confidential information confidential, always Step outside the job description when the team needs you to Who You Are You're an extrovert at heart. You light up around people, walk into a room full of strangers and leave with friends, and genuinely care about everyone you meet.
The non-negotiables:
Integrity. You do the right thing, especially when nobody is watching. A big heart. You care about people for real, and it shows in how you treat everyone, from a CEO to the shuttle driver. Discreet. What's shared in confidence stays in confidence. Period. A great communicator. Sponsors, vendors, leaders, park rangers, the Board. You know how to talk to all of them, and you keep everyone in the loop when plans change. Your verbal and written communication are impeccable. Tech savvy. You know how to use AI and modern tools to automate the repetitive stuff, so more of your time goes to the people we serve. Dependable. When you say it'll happen, people stop worrying about it. Reliable. You show up the same way every time, not just when it's easy. Driven. You push yourself without anyone having to ask. Independent. You see what needs doing and you get it moving. A leader. You own the outcome, set the example, and lift up the people around you. And you're also: Detail-obsessed. Little things matter a lot when you're 1,500 miles from home. High-performing. Your standards for yourself are higher than ours. Emotionally intelligent. You notice what's going on beneath the surface. Strong-willed. You'll protect the mission and speak up when something feels off. Adaptable. The wilderness doesn't care about the original plan. You adjust. Creative. You'd rather find a better way than repeat the old one. A team player. You know the best work happens when everyone pulls together. Service-minded. You believe leadership starts with taking care of people. Fun to be around. We're building memories here, not running an audit. You can move fast without getting careless, and solve problems without overthinking them. "Good enough" has never really sat right with you. What You'll Bring 3+ years of experience in event or retreat production, travel planning, hospitality, partnerships, or sponsor management A track record of pulling off complex logistics with lots of vendors, moving parts, and tight timelines Experience managing relationships with clients, sponsors, or partners Strong writing and communication skills Comfort managing budgets, contracts, timelines, and vendor agreements Strong technical skills, including spreadsheets, CRMs, registration platforms, and project management tools Hands-on experience using AI tools to automate repetitive tasks and work smarter A proven history of handling sensitive and confidential information with care Nice to Have Wilderness First Aid, Wilderness First Responder, or CPR certification Experience planning highly complex outdoor or adventure-style travel Avid and passionate hiker or outdoors person Experience working with executives or in the technology and cybersecurity world Sponsorship experience Physical & Travel Requirements Live and reside in Texas Travel to and attend retreats, roughly two weeks a year at minimum, which may include weekends Ability to travel by air domestically and internationally, with a valid passport Valid driver's license, a clean driving record, and comfort driving in rural and park settings Ability to hike several miles on uneven terrain, at elevation, and in changing weather Comfort spending long stretches outdoors in remote areas with little or no cell service Ability to carry gear and supplies up to 25 lbs Flexibility to work long and irregular hours while on site at retreats What We Offer A full-time role on a team that genuinely cares about each other Fully remote work from anywhere in Texas A free annual National Parks pass for you and your family At least two weeks a year on site at retreats, in places most people never get to see Health benefits 401(k) Real room to grow, take on more, and rise as you show what you're capable of People who will challenge you, support you, and invest in you Trust Is Everything Leaders let their guards down at our retreats. Protecting that trust is your job, with complete integrity, even when no one would ever know otherwise. No other roles. No second jobs, side businesses, or consulting work. ( No conflicts of interest. Never work for or take money from our sponsors, vendors, partners, or competitors. No personal gain. Never use relationships built through Ascent for your own benefit. Confidentiality that doesn't expire. What you learn here stays protected, always. To join our team, you must: Pass a comprehensive criminal and social media background check. Ours goes well beyond what's typical for most roles, because the people we serve deserve nothing less. Have a clean driving record. You'll often be behind the wheel in remote areas, and safety always comes first. Bring a proven track record. Your history and references should reflect the dependability, integrity, discretion, and character described throughout this posting. Still Reading? If you're looking for a job where every day looks the same, we're probably not the right fit, and that's okay. But if you want to do the hardest and most meaningful work of your career, in some of the most beautiful places on earth, for people who will never forget what you did for them, we'd love to meet you.
