Job Description
Executive Admin- 3 months +
Executive & Administrative Support:
- Provide high-level administrative support to assigned Vice President/Senior Vice President
- Exercise discretion and independent judgment to ensure efficient office operations
- Manage complex calendars, schedule meetings, coordinate conflicts, and arrange travel and logistics
- Screen and triage telephone calls and visitors; respond to inquiries and handle sensitive matters in accordance with hospital policies
- Prepare correspondence, memoranda, reports, presentations, meeting agendas, and minutes often involving confidential or sensitive information
- Open, sort, and distribute mail; draft routine correspondence independently
- Develop and support the development of presentation materials
Reporting & Data Management:
- Research, gather, interpret, and maintain data to develop confidential and complex statistical and administrative reports
- Compile and verify data using spreadsheet software; ensure accuracy, completeness, and appropriate formatting
- Establish, maintain, and organize departmental files and records
- Develop presentations and background materials for meetings, events, and leadership initiatives
Operational & Logistical Coordination:
- Coordinate meetings, conferences, retreats, and events, including room reservations and catering
- Assist in developing and monitoring timelines related to faculty, residency, and graduate medical education programs
- Process physician expense reimbursements, invoices, payroll, petty cash, and other departmental financial transactions
- Facilitate physician credentialing and ensure required documentation remains current
