This role involves managing the benefits enrollment process, assisting employees with benefit selections, maintaining accurate records, and ensuring compliance with regulatory requirements such as the Affordable Care Act (ACA). The Benefits Coordinator also manages communications related to benefits, provides support for employee inquiries, and ensures that all benefit-related materials and resources are up to date and accessible. Charter One is currently accepting applications for a full-time HR Benefits Coordinator . Candidates must possess, or be willing to obtain, an Arizona IVP fingerprint clearance card from the Department of Public Safety. Responsibilities include but are not limited to: Oversight of benefits team and associated programs including retirement, worker's compensation and health benefit programs. Overseeing the benefit enrollment process. Assisting employees with enrolling dental, vision, medical and other insurance benefit programs. Oversight of creation of benefit materials and ensuring applicable HR personnel have resources to distribute to employees. Keeping meticulous records of benefit information provided to employees and making sure the records are updated. Responsible for reviewing and submitting invoices for various benefit programs to Finance for approval and payment. Answering employee questions about benefit programs: This may include conducting presentations and meetings with employees to explain available benefits or any changes. Oversight of ACA hours management; include reviewing hours worked by part-time employees on a monthly and annual basis, and as needed, communicate offer of benefit to eligible employees, oversee ACA eligible employees who are currently enrolled. Complete bi-monthly reviews of ACA eligible employee benefit deduction, communicate any necessary back collections or payments. Oversee new employee eligibility communication. Oversee the annual open enrollment period, including set up of the enrollment portal, assist with approving and tracking benefit elections, and auditing enrollments to ensure compliance with plan guidelines. Review applicable benefit contributions for submission including but not limited to 401k, HSA, and FSA. Distributing required notices and tax forms. Complete periodic audits of benefits including but not limited to: enrollments and amounts to ensure compliance with plan guidelines. Other duties as assigned.
Required Skills/Abilities:
Ensuring all benefit records and enrollments are accurate and up-to-date. The ability to clearly explain complex benefits information to employees and answer any inquiries. A solid understanding of benefits laws and regulations, especially ACA, and the ability to ensure compliance. Ability to manage multiple benefit programs and deadlines effectively. Address discrepancies or issues with enrollments, contributions, or employee inquiries promptly and accurately.
Minimum Qualifications:
Bachelor's degree in Human Resources, Business Administration, Health Administration, or a related field. Valid AZ IVP Fingerprint Clearance card 2-4 years of experience in benefits administration or HR, specifically managing employee benefits programs such as health insurance, retirement plans, or worker's compensation. Experience with ACA compliance, open enrollment processes, and benefit program tracking.
Preferred Qualifications:
Experience with benefits platforms and systems within ADP. In-depth knowledge of ACA compliance, employee benefits taxation, and regulatory reporting requirements. Familiarity with employee wellness programs and optional benefits such as HSA or FSA.
