Leave of Absence Representative Position Overview Seeking an experienced Leave of Absence Representative to support the administration of employee leaves of absence and the return-to-work (RTW) process . This position provides responsive and compassionate customer service to employees and leaders while ensuring leave requests, extensions, returns, and related documentation are accurately managed in accordance with applicable federal and California leave laws and organizational policies . eligibility Knowledge of California EDD SDI and PFL programs Experience working with HR Information Systems Strong proficiency with Microsoft Office Suite, including: Excel Word Outlook PowerPoint Strong attention to detail and organizational skills Ability to prioritize multiple tasks and meet deadlines Ability to work independently and as part of a team Ability to handle confidential, sensitive, and personal information appropriately Healthcare experience preferred HR certification preferred Key Responsibilities Assist with administration of employee Leaves of Absence (LOA) and the return-to-work process. Respond to employee and leader questions regarding leave policies, eligibility, documentation, and timelines. Apply federal and state leave laws and organizational policies when assisting with leave inquiries. Assist employees with FMLA and CFRA eligibility . Support employees with California EDD SDI and EDD PFL benefit programs . Respond to leave-related phone calls and emails. Track leave utilization within the organization's timekeeping system. Run Workday reports and identify employees approaching their return-to-work dates. Contact employees approximately seven days before their expected return from leave . Enter leave returns and extensions into Workday . Send follow-up communications regarding return-to-work requirements. Track employees who have not responded to return-to-work communications and escalate appropriately. Run intermittent leave reports through the Matrix portal and confirm leave usage and available balances. Review Matrix reports and enter new leaves, extensions, cancellations, and other updates into the HR information system. Review maternity and paternity leave reports and communicate instructions regarding adding a newborn to medical benefits. Partner with HR Shared Resources as needed to process benefit changes. Track leave claims denied by Matrix and escalate cases appropriately. Assist with claim packets and provide employees with instructions regarding required medical certification forms. Provide medical release forms and restrictions to the appropriate Leave of Absence Specialist for interactive accommodation processes. Assist with job aids, standard operating procedures, and other LOA communications. Attend biweekly Matrix meetings and present issues requiring resolution. Maintain accurate and confidential leave documentation. Perform other duties as assigned. Schedule & Assignment Details Monday-Friday 8:00 AM-4:30 PM 40 hours per week Contract assignment from October 5, 2026 through January 2, 2027 Human Resources / Leave of Absence administration No patient-care responsibilities English communication, reading, and writing required
