Full Time Position Summary The Human Resources, Payroll & Benefits Specialist supports multiple substance use disorder and mental health facilities located across the United States. This position is responsible for supporting day-to-day Human Resources functions, administering employee benefits, and processing semi-monthly/bi-weekly payroll for employees across multiple states. The ideal candidate must have hands-on experience in Human Resources, payroll processing, and employee benefits administration, including experience working with benefit carriers, brokers, employee enrollments, qualifying life events, leave-related benefit payments, and benefit reconciliation. Paylocity experience for both HR and payroll functions is required. Human Resources Responsibilities Support recruiting, onboarding, and new hire orientation. Prepare offer letters and employment documents. Coordinate background checks, drug screens, physicals, fingerprinting, and license verification. Maintain accurate employee records in Paylocity. Process new hires, terminations, transfers, promotions, pay changes, and department changes. Respond to employee questions regarding policies, benefits, payroll, and workplace procedures. Assist with employee relations matters, investigations, corrective actions, and terminations. Track employee licenses, certifications, evaluations, and required training. Assist with leave requests and return-to-work documentation. Support compliance with federal, state, and local employment laws. Maintain confidentiality of employee and company information. Benefits Administration Responsibilities Administer employee benefit programs, including medical, dental, vision, supplemental benefits, life insurance, disability benefits, and 401(k). Manage new hire benefit eligibility and enrollment. Process benefit changes related to qualifying life events, terminations, and other employee status changes. Serve as a primary point of contact for employee questions regarding benefit eligibility, enrollment, coverage, deductions, and plan information. Coordinate with insurance carriers, benefit brokers, third-party administrators, and other benefit vendors to resolve employee and plan issues. Review and reconcile benefit enrollments and payroll deductions to ensure accuracy. Research and correct benefit deduction discrepancies, missed deductions, and enrollment issues. Track employees on leave and coordinate the collection of employee-paid benefit premiums when payroll deductions are unavailable. Monitor benefit eligibility when employees experience changes in employment status, including full-time, part-time, leave of absence, and termination. Assist with benefit termination and continuation of coverage processes, including COBRA administration as applicable. Assist with annual Open Enrollment, including employee communications, enrollment changes, and system updates. Work with benefit brokers and leadership during annual plan renewal to review available plans, costs, and coverage options prior to Open Enrollment. Maintain accurate benefit records within Paylocity and applicable carrier/vendor systems. Assist with benefit audits, reporting, invoices, and reconciliation as needed. Support administration and employee communication related to the Company's 401(k) retirement plan. Maintain confidentiality of employee health and benefit information. Payroll Responsibilities Payroll Processing Process semi-monthly/bi-weekly payroll for employees across multiple states. Review timecards, wages, overtime, bonuses, reimbursements, deductions, and garnishments. Process child support orders, wage garnishments, tax levies, and other court-ordered deductions. Process payments for independent contractors and maintain accurate payment records. Review payroll data before processing and correct discrepancies. Process payroll adjustments, retroactive pay, final pay, and off-cycle payments as needed. Ensure benefit deductions are accurately reflected in payroll. Payroll Administration and Compliance Maintain payroll records for new hires, terminations, pay changes, direct deposits, taxes, and deductions. Ensure compliance with federal, state, and local payroll and wage laws. Assist with W-2s, 1099s, payroll tax reporting, and payroll audits. Prepare payroll reports for Human Resources, Finance, and leadership. Stay current on payroll laws affecting multi-state employers. Maintain accurate and confidential payroll records. Employee Support Serve as a primary contact for employee payroll and benefits questions. Research and resolve payroll and benefit issues in a timely manner. Assist employees with tax forms, direct deposit, deductions, garnishments, pay statements, benefit elections, and benefit deductions. Communicate with employees regarding benefit eligibility, enrollment deadlines, and required documentation. Provide professional and responsive employee support. Required Qualifications Minimum of two years of Human Resources experience required. Minimum of two years of payroll processing experience required. Previous employee benefits administration experience required. Experience administering medical, dental, vision, life, disability, supplemental, and retirement benefits preferred. Experience working directly with benefit brokers, insurance carriers, and benefit vendors preferred. Experience with benefit enrollment, qualifying life events, Open Enrollment, benefit deductions, and reconciliation required. Paylocity experience for Human Resources functions required. Paylocity payroll processing experience required. Multi-state payroll and/or benefits experience strongly preferred. Experience processing payroll for 500 or more employees preferred. Experience with child support orders, wage garnishments, tax levies, and other deductions required. Knowledge of federal and state payroll, wage, benefits, and employment requirements. Experience in behavioral health, mental health, substance use disorder treatment, healthcare, or another regulated setting preferred. Strong organization, communication, and problem-solving skills. Excellent attention to detail and ability to manage multiple deadlines. Ability to maintain confidentiality. Education High school diploma or equivalent required. Associate's or bachelor's degree in Human Resources, Business Administration, Accounting, Finance, or a related field preferred. Work Environment This is a full-time, in-person position supporting multiple substance use disorder and mental health facilities across the United States. Occasional travel to company facilities may be required.
