Benefits Administrator AssistantJob Summary We are seeking a detail-oriented and organized Benefits Administrator Assistant to support the administration of employee benefits and provide excellent service to employees. This position will assist with day-to-day benefits administration, employee benefits enrollment, eligibility, payroll deductions, benefit invoices, and employee questions . The ideal candidate is dependable, highly organized, comfortable working with confidential information, and able to communicate effectively with employees, insurance carriers, brokers, payroll providers, and other vendors. Previous experience in employee benefits, payroll, human resources, HR administration, or a related administrative role is preferred. Essential FunctionsEmployee Benefits Administration Provide administrative support for a variety of employee benefit programs , including medical, dental, vision, life insurance, disability, HSA, 401(k), and voluntary benefits. Assist with benefits administration throughout the employee lifecycle , including new hire enrollment, benefit eligibility, qualifying life events (QLEs), dependent changes, open enrollment, and employee terminations. Assist employees with questions regarding benefit plans, eligibility, enrollment, coverage, deductions, and available resources . Help employees understand benefit enrollment processes and direct questions to the appropriate benefits, insurance, payroll, or HR resources when needed. Coordinate benefit-related activities with employees, insurance carriers, brokers, retirement providers, payroll vendors, HRIS providers, and third-party administrators . Assist with timely processing of new hire benefit elections, employee changes, terminations, and qualifying life event updates . Benefits, Payroll & Billing Support Review and reconcile monthly benefit invoices to employee enrollment records and payroll deductions. Verify that employee payroll deductions accurately reflect benefit elections and coverage . Research discrepancies involving benefit eligibility, enrollment, billing, claims, payroll deductions, employee elections, and system records . Assist with resolving benefit and payroll issues by researching discrepancies, communicating with appropriate vendors, and escalating issues when necessary. Maintain accurate and up-to-date employee benefit records across HRIS, payroll, benefits administration, and insurance carrier systems . Assist with benefit-related audits, reporting, data entry, and administrative projects as needed. Employee Service & Communication Serve as a professional and responsive resource for employees regarding employee benefits and benefits administration . Respond to employee questions by phone, email, and other communication channels. Maintain confidentiality when handling employee records, payroll information, benefits information, and other sensitive data . Communicate professionally with employees, management, internal departments, insurance carriers, brokers, and external vendors. Follow up on outstanding issues to help ensure timely and accurate resolution. Qualifications High school diploma or equivalent required. 1-2 years of experience in benefits administration, payroll, human resources, HR administration, insurance, or a related administrative position preferred. Experience with employee benefits, payroll deductions, HRIS, benefits enrollment, or insurance administration is a plus. Strong attention to detail and commitment to accuracy when working with employee, benefits, payroll, and confidential information. Ability to maintain confidentiality and exercise sound judgment when handling sensitive employee information. Strong organizational and time-management skills with the ability to manage multiple priorities and meet deadlines. Excellent communication, customer service, and problem-solving skills . Ability to research discrepancies, identify issues, follow up with appropriate parties, and assist with problem resolution. Proficiency with Microsoft Office, including Excel . Experience with HRIS, payroll systems, benefits administration platforms, or insurance carrier systems preferred.
