Benefits Specialist
Job Description
Benefits Administration Administer U.S. and Canadian employee benefit programs, including medical, dental, vision, life, disability, HSA, FSA, EAP, and other company-sponsored benefits. Manage employee benefit eligibility, enrollments, changes, and terminations. Process qualifying life events and ensure appropriate documentation and approvals are obtained. Monitor employee eligibility and enrollment data for accuracy. Coordinate timely transmission of enrollment and eligibility information to benefit carriers and vendors. Resolve enrollment and coverage issues with employees, carriers, brokers, and third-party administrators. Maintain accurate benefits records within the HRIS. Open Enrollment Coordinate the annual open enrollment process from planning through completion. Work with brokers and carriers to prepare enrollment materials and employee communications. Coordinate employee meetings, presentations, and education sessions. Monitor enrollment completion and follow up with employees as needed. Audit enrollment elections following open enrollment to identify and correct errors. Benefits Vendor & Broker Management Serve as the primary day-to-day contact for benefits carriers, brokers, and third-party administrators. Coordinate resolution of employee and administrative issues. Review benefit invoices for accuracy and reconcile enrollment data to billing. Assist with renewals, plan changes, and implementation of new benefit programs. Maintain vendor contacts, contracts, plan documents, and administrative information. Payroll & HRIS Coordination Partner with Payroll to ensure accurate benefit deductions and employer contributions. Reconcile benefit deductions and identify discrepancies. Ensure benefit elections and deductions are accurately reflected in the HRIS and payroll system. Assist with system testing and implementation of benefits-related HRIS changes. Develop and maintain benefits-related reports and audits. 401(k) Administration Support administration of the company's 401(k) plan. Coordinate employee eligibility, enrollment, contribution changes, and terminations. Work with the plan provider and payroll to resolve contribution and eligibility issues. Assist with annual plan activities, audits, and required reporting. Serve as an employee resource for general 401(k) questions while appropriately referring investment-related questions to the plan provider. Compliance Assist with administration and compliance related to applicable benefits requirements, including ERISA, COBRA, ACA, HIPAA, FMLA-related benefits continuation, and applicable federal and state requirements. Coordinate COBRA administration with the appropriate vendor or administrator. Maintain required benefits notices and employee communications. Support preparation of applicable regulatory filings, audits, and compliance reviews. Maintain benefits records and documentation in accordance with company retention requirements. Escalate potential compliance issues to HR leadership and/or benefits advisors. Employee Support Serve as a knowledgeable and approachable resource for employee benefits questions. Explain benefit plans, eligibility requirements, enrollment procedures, and employee costs in a clear and understandable manner. Assist employees with navigating carrier and benefits-provider resources. Protect confidential employee information and maintain appropriate privacy and security standards. Develop employee communications and educational materials to improve benefits awareness and utilization. Process Improvement & Reporting Identify opportunities to streamline benefits administration and improve the employee experience. Establish and maintain benefits administration procedures and checklists. Conduct periodic audits of benefit eligibility, enrollment, deductions, and carrier billing. Prepare benefits-related reports and metrics for HR leadership. Maintain an accurate annual benefits compliance and administration calendar. Assist with benefits integration activities related to acquisitions and organizational growth. Required Bachelor's degree in Human Resources, Business Administration, or related field, or equivalent combination of education and experience . 5+ years of experience in benefits administration or a related HR role. Strong working knowledge of U.S. employee benefits. Experience administering medical, dental, vision, life, disability, HSA/FSA, and retirement benefits. Experience working with benefits carriers, brokers, and third-party administrators. Experience with HRIS and payroll systems. Strong attention to detail and ability to manage confidential information. Excellent organizational and time-management skills. Strong written and verbal communication skills. Ability to work independently while collaborating effectively with HR, Payroll, Finance, and employees. Proficiency with Microsoft Office, particularly Excel. Preferred Experience supporting a multi-state U.S. workforce. Experience with ACA, COBRA, ERISA, and other benefits compliance requirements. Experience with 401(k) administration. Experience with HRIS benefits modules and benefits integrations. The Benefits Specialist is responsible for the administration and coordination of Vector Power's employee benefit programs. This position serves as a key resource for employees, payroll, benefits providers, and brokers, ensuring benefit programs are administered accurately, efficiently, and in compliance with applicable federal and state requirements.
