Owner Position Summary The Payroll & Benefits Coordinator owns payroll processing (including certified payroll), benefits administration, and workers' compensation and employment security compliance for the company, and executes their respective piece of month-end close. Tax preparation and filing, and final month-end close sign-off, remain with the company's external CPA; this role coordinates payroll and close data needed for that work but does not own tax filings or final close. Expected Hours 25-30 per week. Key Responsibilities Payroll & Certified Payroll (Ownership) Process weekly payroll end to end directly within Viewpoint Spectrum — review submitted time, then process hourly and salary payroll in the ERP (not through an outside third-party payroll provider) Prepare and submit certified payroll reports for prevailing wage / public works jobs (e.g., via LCPTracker) Ensure compliance with prevailing wage and certified payroll requirements File trust reports for CWA (Collective Bargaining Agreement / Craft Workers Agreement) projects Process commissions and bonuses Establish and maintain payroll controls and backup procedures New Employee Setup (Review & Ownership) Review new employee setup entered in Viewpoint Spectrum and Traqspera by the Accounting Assistant, confirming wage rate, tax elections, and benefit enrollment are correct before the employee's first payroll run Own the accuracy of new employee payroll and benefits setup, even though initial entry is performed by the Accounting Assistant Benefits Administration (Ownership) Administer employee benefits (health insurance, 401(k)) Manage enrollments, deductions, and carrier coordination, including coordination with the company's benefits broker/HR partner Maintain the fringe benefit worksheet and ensure composite fringe rates are correctly applied per employee, per job Month-End Close (Respective Duties) Post payroll and benefits-related journal entries for the month Reconcile payroll liability and benefits accounts (accrued wages, payroll taxes payable, benefits payable) to the general ledger Prepare and post adjusting or correcting entries within payroll and benefits Coordinate with the Staff Accountant on WIP-to-GL reconciliation as needed Workers' Compensation (L&I) & Claims (Ownership) Own L&I compliance, premium reporting, and audit readiness Serve as primary point of contact with L&I and insurance carriers Track claim costs and coordinate return-to-work information with the Operations Manager Employment Security / Unemployment Insurance (Ownership) Own quarterly employment security filings and compliance Respond to unemployment claims, notices, and rate determinations Out of Scope Tax compliance and filings remain with the external CPA AP processing, subcontractor compliance, and GC pay application submission remain with the Accounting Assistant Job cost accounting, WIP schedules, and new job/contract setup remain with the Staff Accountant Employee file scanning and new-hire paperwork retention are not part of this role Qualifications Required 3+ years of payroll processing experience Experience processing payroll directly within an ERP system (Trimble Spectrum strongly preferred) rather than solely through a third-party payroll service (e.g., ADP, Paychex, Gusto) Certified payroll / prevailing wage experience required Experience with benefits administration and carrier coordination Experience supporting month-end close, including journal entries and account reconciliations Construction or specialty contracting industry experience Comfortable in a hands-on, lean environment Preferred Direct hands-on experience with Viewpointe Spectrum payroll Experience with L&I and employment security reporting inWashington State Pay:
