Manage employee benefit eligibility, enrollments, changes, qualifying life events, and terminations. Process benefit changes accurately and ensure required documentation and approvals are obtained. Monitor employee eligibility and enrollment data for accuracy and completeness. Coordinate timely transmission of enrollment and eligibility information to carriers and vendors. Resolve enrollment, coverage, and claims-related administrative issues with employees, carriers, brokers, and third-party administrators. Maintain accurate benefits records and employee data within the HRIS. Ensure benefit administration processes are scalable and support the organization's continued growth. Benefits Strategy & Plan Management Partner with HR leadership to evaluate benefit programs and identify opportunities to improve plan design, cost management, employee experience, and competitiveness. Develop a strong understanding of benefit plan utilization, costs, employee participation, and market trends. Analyze benefits data and make informed recommendations to HR leadership regarding plan changes, vendor solutions, and cost-management opportunities. Assist with annual benefits renewals, including reviewing plan performance, rate changes, utilization information, and vendor recommendations. Support the evaluation and implementation of new benefit programs and plan enhancements. Balance employee needs, business objectives, cost considerations, and compliance requirements when evaluating benefit options. Provide subject matter expertise to HR leadership on benefits-related decisions and issues. Open Enrollment Lead the annual open enrollment process from planning through completion. Develop and maintain the open enrollment timeline, project plan, communications, and administrative processes. Work with brokers, carriers, and vendors to prepare plan materials and enrollment information. Coordinate employee meetings, presentations, and benefits education sessions. Develop clear employee communications and educational materials. Monitor enrollment completion and proactively follow up with employees as needed. Audit enrollment elections following open enrollment to identify and correct errors. Evaluate the effectiveness of the open enrollment process and implement improvements for future years. Benefits Vendor & Broker Management Serve as the primary day-to-day contact for benefits carriers, brokers, third-party administrators, and other benefits vendors. Develop effective working relationships with benefit partners and hold vendors accountable for service and issue resolution. Coordinate resolution of employee and administrative issues. Review benefit invoices for accuracy and reconcile enrollment data to billing. Identify and investigate billing discrepancies and ensure timely corrections. Participate in broker and vendor meetings, renewal discussions, and performance reviews. Assist with negotiating and evaluating vendor services and benefit program costs. Maintain vendor contacts, contracts, plan documents, and administrative information. Payroll & HRIS Coordination Partner closely with Payroll to ensure accurate benefit deductions and employer contributions. Reconcile benefit deductions, employer contributions, and carrier billing and identify discrepancies. Ensure benefit elections and deductions are accurately reflected in the HRIS and payroll systems. Coordinate benefits-related system configuration, testing, and implementation of HRIS changes. Identify opportunities to improve automation and integration between HRIS, payroll, carriers, and benefit vendors. Develop and maintain benefits-related reports, audits, and data integrity processes. 401(k) Administration Oversee the day-to-day administrative support of the company's 401(k) plan. Coordinate employee eligibility, enrollment, contribution changes, and terminations. Partner with the plan provider, payroll, and HR to resolve contribution and eligibility issues. Monitor plan administration and identify potential discrepancies or issues. Assist with annual plan activities, audits, nondiscrimination testing, and required reporting. Serve as an employee resource for general 401(k) administrative questions while appropriately referring investment-related questions to the plan provider. Maintain accurate plan records and documentation. Compliance & Risk Management Oversee the administration of benefits in accordance with applicable U.S. and Canadian laws, regulations, and plan requirements. Support compliance with applicable requirements including ERISA, COBRA, ACA, HIPAA, FMLA-related benefits continuation, and applicable federal and state requirements. Coordinate COBRA administration with the appropriate vendor or administrator. Maintain required benefits notices, disclosures, and employee communications. Support preparation of applicable regulatory filings, audits, and compliance reviews. Maintain benefits records and documentation in accordance with company retention requirements. Monitor changes in benefits-related legislation and regulatory requirements and communicate relevant impacts to HR leadership. Identify and escalate potential compliance risks and recommend appropriate corrective action. Employee Support & Benefits Education Serve as a knowledgeable, approachable, and responsive resource for employee benefits questions. Explain benefit plans, eligibility requirements, enrollment procedures, employee costs, and plan provisions in a clear and understandable manner. Assist employees with navigating carrier and benefits-provider resources. Develop and maintain benefits FAQs, guides, communications, and educational materials. Identify recurring employee questions or issues and recommend improvements to communication and education. Protect confidential employee information and maintain appropriate privacy and security standards. Reporting, Audits & Process Improvement Establish and maintain standardized benefits administration procedures, workflows, and checklists. Conduct regular audits of benefit eligibility, enrollment, deductions, employer contributions, and carrier billing. Prepare benefits reports and metrics for HR leadership, including participation, costs, enrollment trends, and other relevant measures. Maintain an accurate annual benefits compliance, renewal, and administration calendar. Identify opportunities to streamline processes, improve data accuracy, reduce administrative burden, and enhance the employee experience. Implement scalable benefits processes and controls to support the company's continued growth. Document processes and maintain appropriate departmental knowledge and resources. Acquisitions & Organizational Growth Support benefits-related activities associated with acquisitions, new locations, and organizational growth. Assist with benefits due diligence and integration planning for acquired employees. Coordinate employee data collection, eligibility, enrollment, plan mapping, and transition activities. Support the development and implementation of benefits processes for new employees and locations. Identify opportunities to standardize benefits administration across the organization while accounting for U.S. and Canadian requirements. Required Bachelor's degree in Human Resources, Business Administration, or a related field preferred. 5+ years of progressive experience in employee benefits administration, with significant hands-on experience managing U.S. benefits. Experience administering benefits in a multi-state environment; Canadian benefits experience is strongly preferred. Strong knowledge of medical, dental, vision, disability, life, HSA/FSA, 401(k), and other employee benefit programs. Working knowledge of applicable benefits laws and regulations, including ERISA, COBRA, ACA, HIPAA, and FMLA-related benefits requirements. Experience working directly with benefits brokers, carriers, third-party administrators, and vendors. Experience with benefit renewals, open enrollment, billing reconciliation, audits, and benefits-related HRIS administration. Strong analytical skills with the ability to interpret benefits data, costs, and trends. Ability to make informed recommendations and support benefits-related decision-making.
