$35/hr - $40/hr on W2 (DOE) GSSM Administrative/ Executive Assistant Job Description Daily activities will include calendar management (utilizing your keen problem-solving abilities as challenges arise), hardware procurement (ensuring our local teams have the devices they need to perform their job functions), facilities management (assisting with keeping our spaces functioning like a well oiled machine), booking domestic & international travel, arranging for team off-sites and events, and working closely with other admins and teams to coordinate meetings or collaborate on fun team events or initiatives. Working with the broader team, you will ideally bring a fun and creative approach to team support, and be a champion for team morale. The candidate who will thrive in this role is an ambitious and highly organized individual who enjoys solving problems in creative ways and shines in a fast-paced and ever-changing environment.Responsibilities:
- Complex calendar management for multiple executives (Sr. Directors)
- Assisting with the full life-cycle of internal hardware procurement (ordering/ shipping/receiving/tracking)
- Facilities coordination/management
- Booking domestic and international travel
- Planning, managing, and executing both small and large-scale events
- Onsite office support such as stocking supplies/snacks & escorting vendors or guests in lockdown areas as needed
- Working autonomously on assignments and handling sensitive and confidential information with integrity and discretion
Qualifications:
- 1 year admin experience in a fast paced corporate environment.
- Experience managing various projects and events from conception to completion.
- Experience managing complex calendars commensurate with the role requirements.
- Ability to maintain consistent attention to detail, be able to prioritize and independently manage their time in a fast-paced atmosphere where there are often impromptu requests.
- Strong written and verbal communication skills; have the ability to exercise tact, discretion and the initiative to efficiently meet the demands of all groups within the team.
- A forward-thinker who takes initiative, can successfully manage multiple requests and projects simultaneously, problem solving and constant drive for process improvement
- Very organized, has an exceptional response rate, and flexibility to be available outside of business hours on occasion.
