POSITION SUMMARY
Certified Aviation Services, LLC (CAS) is seeking a highly organized and dependable HR Administration & Compliance Specialist to provide day-to-day administrative support to the Human Resources team at our Birmingham aircraft maintenance facility. The Specialist will assist HR with employee records, Employee Action Forms, recruiting, onboarding, training documentation, compliance tracking, and general HR administration. This is a hands-on support role focused on keeping HR documentation accurate, organized, and current while assisting the HR Manager with daily administrative needs. Key Responsibilities Process and route Employee Action Forms (PAF's) for new hires, transfers, promotions, pay changes, status changes, and terminations. Update employee information in HRIS and other company systems. Track missing or incomplete employee paperwork and follow up. Assist HR with payroll documentation and employee data changes. Maintain confidentiality of employee information. Collect and file copies of licenses, certificates, training records, and other employee qualifications as directed by HR, Training, or Quality. Help keep employee qualification and training information current in tracking systems. Monitor upcoming expirations and provide reminders to HR and the appropriate department. Serve as a first point of contact for routine HR administrative questions. Assist employees with locating documents or completing routine paperwork. Coordinate with supervisors regarding missing forms, signatures, or documentation. Assist with employee communications and HR activities. Escalate employee relations, disciplinary, leave, compensation, or other sensitive matters to HR management. Answer phones and respond to routine HR emails. Schedule interviews, meetings, orientations, and training. Maintain HR calendars and tracking logs. Assist with employee events and HR initiatives. Prepare, copy, scan, file, and distribute HR documents. Assist with special projects and other duties assigned by HR management. High school diploma or equivalent. 2 years of HR administrative or related experience preferred. Strong organizational and follow-up skills. High attention to detail. Good written and verbal communication. Proficiency with Microsoft Office, especially Excel and Outlook. Ability to handle confidential information. Dependable and professional. Ability to work in a fast-paced environment. Willingness to learn aviation and CAS-specific processes. Must be available to work full-time and on-site in Birmingham, Alabama.
ROLE EXPECTATIONS
This position is intended to be an HR support resource, not the primary owner of HR or compliance. HR management will continue to handle employee relations, investigations, disciplinary matters, policy interpretation, regulatory decisions, compliance oversight, and management guidance. The HR Administration & Compliance Specialist will help ensure that the administrative work behind those functions is completed accurately, organized, and on time.
