This role serves as the primary point of contact during onboarding, coordinating engagement setup, collecting required documentation, managing workflow tasks, scheduling meetings, and ensuring all client information is accurately entered into the firm's systems. Key Responsibilities Client Onboarding Coordinate all aspects of the client onboarding process from initial engagement through project setup. Welcome new clients and serve as their primary onboarding contact. Send engagement letters, questionnaires, organizers, and document request lists. Track and monitor completion of onboarding requirements. Ensure all necessary documents are received before work begins. Assist clients with portal access, document uploads, and electronic signatures. Schedule onboarding, discovery, and planning meetings. Client Data Collection & Management Collect and organize client information and financial documents. Verify data completeness and accuracy. Maintain electronic client files and records. Update client information in CRM and practice management systems. Ensure all required compliance documentation has been received. Monitor outstanding documentation requests and follow up as needed. Workflow Coordination Create and initiate new client workflows within the firm's practice management system. Assign onboarding tasks to appropriate team members. Monitor progress of onboarding activities and deadlines. Coordinate handoffs between administrative staff, accountants, tax preparers, and advisors. Identify bottlenecks and escalate issues when necessary. Maintain onboarding status reports for management. Client Communication Serve as a primary liaison between clients and firm personnel. Respond promptly to onboarding questions and requests. Provide regular updates regarding onboarding status. Ensure clients understand engagement timelines and next steps. Maintain a high level of professionalism and customer service. Practice Management & CRM Administration Enter and maintain client information in CRM systems. Create client records and engagement profiles. Maintain onboarding checklists and workflow documentation. Track onboarding metrics and completion rates. Generate status reports for leadership. Compliance & Quality Control Verify engagement letters and required agreements are executed. Confirm receipt of required identification and supporting documentation. Ensure client files comply with firm policies and regulatory requirements. Monitor completion of onboarding procedures before engagement launch. Process Improvement Recommend improvements to onboarding processes. Assist with implementation of workflow automation and new technologies. Develop and update onboarding procedures and checklists. Help improve client communication and service standards. Qualifications Education Associate's or Bachelor's degree in Business Administration, Accounting, Finance, Communications, or a related field preferred. Experience 2+ years of client service, customer success, administrative coordination, or onboarding experience. Experience working in a CPA firm, accounting firm, financial advisory firm, or professional services environment preferred. Experience managing client-facing processes and workflows is highly desirable. Technical Skills Microsoft Office 365, including Outlook, Word, Excel, Teams, and SharePoint. CRM systems such as Salesforce, HubSpot, or Redtail. Accounting practice management software such as Karbon, Canopy, Jetpack Workflow, Thomson Reuters Practice CS, CCH Axcess, or OfficeTools. Electronic document-management systems and electronic signature platforms such as DocuSign or Adobe Sign. Core Competencies Exceptional customer service skills.
