With both retail and wholesale divisions serving customers nationwide, we're continuing to grow and are looking for an organized, detail-oriented Payroll Assistant / HR Onboarding Specialist to join our Human Resources team. Position Overview As our Payroll Assistant / HR Onboarding Specialist, you'll play a key role in supporting employees from their very first day. You'll coordinate onboarding activities, assist with payroll processing, maintain employee records, and ensure compliance with federal and state employment regulations. This position is ideal for someone who thrives on organization, values accuracy, and enjoys helping others. What You'll Do New Hire Onboarding & HR Support
- Coordinate and process all new hire paperwork, ensuring employment, tax, and legal documents are completed accurately and maintained in compliance with company policies and applicable laws. Lead new hire orientation sessions, introducing employees to our culture, policies, procedures, and benefits.
- Partner with IT and department managers to ensure new employees have the equipment, system access, and workspace ready before their first day.
- Serve as the primary HR contact for new employees during their first 90 days, providing guidance and answering questions to help ensure a successful transition.
- Support recruiting efforts by posting job openings, scheduling interviews, preparing offer letters, and coordinating start dates.
- Assist with workers' compensation administration, including filing, tracking, and maintaining workplace injury and claim records.
- Maintain employee personnel files and HR records in accordance with company policies and legal requirements.
- Support additional payroll and human resources initiatives as needed. Payroll Administration
- Assist with payroll preparation by reviewing time records, processing new hires, employment status changes, and ensuring payroll information is complete and accurate.
- Respond promptly and professionally to employee questions regarding payroll, timekeeping, and HR matters.
- Generate payroll reports to support bi-weekly payroll processing, audits, tax filings, and management reporting.
- Maintain accurate records for Paid Time Off (PTO), sick leave, and other employee leave balances. Qualifications and Requirements
- Bilingual in English and Spanish (required).
- 2-3 years of experience in high-volume payroll administration and HR onboarding.
- Working knowledge of federal, state, and local payroll laws, wage and hour regulations, and employment compliance, including the Fair Labor Standards Act (FLSA).
- Experience with payroll systems and HRIS platforms. UKG Ready a plus.
- Strong proficiency in Microsoft Office, especially Excel.
- Exceptional organizational skills with outstanding attention to detail.
- Ability to manage multiple priorities while meeting deadlines in a fast-paced environment.
- Strong communication, interpersonal, and customer service skills.
- Ability to maintain strict confidentiality with sensitive employee and payroll information.
- Self-motivated team player who can work both independently and collaboratively.
- Comfortable supporting a workforce of more than 600 employees across five states.
