The Santa Lucia Preserve is hiring a Human Resources and Payroll Administrator who will be the primary owner of payroll processing, timekeeping administration, and transactional HR support across multiple company entities. The position ensures payroll is accurate, timely, properly documented, and administered in accordance with company practices and applicable federal and California requirements. In addition to payroll ownership, the Administrator maintains HRIS data and personnel records, processes new hires and employee changes, administers post-selection and onboarding transactions, prepares reports, and provides responsive administrative support to employees, managers, and the Human Resources and Safety team.
Responsibilities include:
Payroll Administration
- Processes semi-monthly payroll for affiliated company entities, including hourly and salaried employees.
- Reviews payroll inputs, employee changes, earnings, deductions, benefit adjustments, leave balances, wage garnishments, and other payroll transactions for accuracy and completeness.
- Performs pre-processing audits, payroll reconciliations, and post-payroll reviews and resolves discrepancies within required deadlines.
- Maintains accurate payroll records and supporting documentation and prepares payroll reports for management, Finance, auditors, and authorized business partners.
- Coordinates final pay, off-cycle payments, retroactive adjustments, corrections, and other special payroll transactions.
- Responds to employee payroll questions professionally and researches discrepancies through resolution.
- Maintains payroll calendars, processing checklists, and internal controls to support timely and consistent payroll administration.
- Partners with Finance and HR leadership on payroll reporting and process improvements. Timekeeping and Attendance Systems
- Administers the timekeeping system and ensures employee and supervisor access is maintained appropriately.
- Reviews timecards for missing punches, approvals, meal-period entries, overtime, differentials, and other exceptions before payroll processing.
- Coordinates timely correction of timekeeping issues with employees and managers and maintains required supporting records.
- Provides technical assistance and practical training to employees and managers on payroll and timekeeping systems.
- Identifies recurring errors or control concerns and recommends corrective processes or additional training. HRIS and Employee Records
- Maintains accurate employee information in payroll, HRIS, timekeeping, benefits, and related systems.
- Processes new hires, compensation and status changes, transfers, deductions, tax changes, direct deposits, and separations based on complete and approved documentation.
- Maintains confidential personnel, payroll, benefit, training, and compliance records in accordance with established retention and access requirements.
- Performs routine data audits and reconciles information across systems to identify and correct inconsistencies.
- Maintains current forms, templates, checklists, and standard employee documents. Post Selection and Onboarding Administration
- Receives approved new-hire information after candidate selection and offer coordination are complete.
- Coordinates background checks, employment verifications, and other authorized pre-employment requirements after selection.
- Prepares onboarding materials, new-hire files, required notices, and system access requests.
- Processes new-hire documentation and ensures required forms are complete, accurate, and retained appropriately.
- Coordinates orientation logistics and supports the HR team with employee onboarding and orientation activities. Reporting and Compliance Support
- Prepares and distributes payroll, headcount, timekeeping, benefit, and HR reports to authorized recipients.
- Supports payroll tax, benefits, ACA, workers' compensation, audit, and other regulatory reporting by providing accurate records and data.
- Maintains compliance calendars and assists with required notices, records, filings, postings, and document updates.
- Protects confidential payroll and personnel information and follows established data security and access practices.
- Maintains working knowledge of payroll requirements and California wage-and-hour practices relevant to assigned responsibilities.
- Other duties as assigned HR Department Administration
- Responds to routine questions regarding pay statements, timekeeping, forms, onboarding status, and HR system access.
- Schedules HR meetings and supports employee communications, mailings, document preparation, scanning, filing, and other administrative needs.
- Supports HR and employee/ safety events, training logistics, audits, and special projects.
- Provides professional, timely, and service-oriented support to employees and managers. Qualifications
- Three or more years of payroll processing experience; multi-entity payroll experience is strongly preferred.
- Demonstrated experience processing payroll for hourly and salaried employees and administering deductions, garnishments, adjustments, and timekeeping data.
- Working knowledge of federal and California payroll and wage-and-hour requirements.
- Experience with ADP or a comparable payroll, HRIS, and timekeeping platform is preferred.
- Experience with HR records, onboarding administration, reporting, and confidential employee information.
- An associate or bachelor's degree in human resources, accounting, business administration, or a related field is preferred, or an equivalent combination of education and experience.
- Proficiency with Microsoft Excel, Word, Outlook, and data reporting tools. Knowledge, Skills, and Abilities
