Human Resources Administrative Assistant Job Description The Human Resources Administrative Assistant supports the HR team by accurately scanning, organizing, and maintaining employee records while ensuring strict confidentiality and compliance with internal policies. This role focuses on high-volume document processing, data entry, and administrative support, contributing to smooth HR operations, including onboarding, offboarding, and employment verifications. Responsibilities Scan, upload, and organize employee documents into digital filing systems with a high degree of accuracy. Maintain and update confidential personnel files, ensuring compliance with internal policies and record retention standards. Audit personnel files for completeness and follow up on missing or outdated documentation. Assist with employment verification requests by gathering required information and preparing accurate, timely responses. Support onboarding and offboarding documentation processes as needed, ensuring all required forms and records are properly completed and filed. Retrieve files and documents for HR team members, audits, or internal requests in a timely and organized manner. Ensure all records are properly labeled, indexed, and stored to allow easy and efficient retrieval. Maintain confidentiality and handle sensitive employee information with discretion at all times. Perform general administrative duties such as data entry, copying, document preparation, and basic HR administrative support. Manage repetitive tasks efficiently while maintaining accuracy and meeting deadlines. Essential Skills At least 1 year of administrative or clerical experience, preferably in a human resources environment. Strong attention to detail and excellent organizational skills. Experience handling high volumes of documents, including scanning, filing, and indexing. Proficiency in Microsoft Office, particularly Excel and Outlook. Ability to manage sensitive and confidential information with discretion. Strong time management skills and the ability to prioritize repetitive tasks effectively. Human resources support experience, including HR administration and employment verifications. Accurate data entry skills and comfort with digital filing systems. Additional Skills & Qualifications 6+ months of human resources experience is preferred. Experience providing administrative support in an HR setting. Familiarity with HR documentation processes such as onboarding, offboarding, and personnel file maintenance. Demonstrated ability to work efficiently with scanning and filing technologies. Strong communication skills to interact professionally with internal stakeholders requesting documents or verifications. Job Type & Location This is a Contract position based out of Commerce, CA. Pay and Benefits The pay range for this position is $25.00 - $25.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
