Position Summary We are seeking a highly organized, professional, and dependable Human Resources Assistant to provide administrative and operational support to the Human Resources Director and HR Department. This role will support a variety of HR activities, including employee documentation, onboarding, recruitment coordination, HR records, scheduling, reporting, and departmental projects. The position requires a high level of discretion and professionalism, as it involves access to confidential employee and business information. The ideal candidate is detail-oriented, dependable, proactive, and comfortable managing multiple priorities in a fast-paced environment while maintaining accuracy, confidentiality, and excellent follow-through. Key Responsibilities Provide day-to-day administrative support to the Human Resources Director and HR Department. Maintain accurate and organized employee personnel files, HR records, forms, and confidential documentation. Support employee onboarding, orientation preparation, and new-hire documentation. Assist with recruitment activities, including interview scheduling, applicant communications, and candidate documentation. Schedule HR meetings, interviews, trainings, employee meetings, and other appointments. Prepare HR-related letters, spreadsheets, reports, presentations, communications, and other documents. Assist with tracking HR deadlines, employee documentation, training requirements, performance review materials, and follow-up items. Assist employees with routine HR questions and appropriately escalate sensitive or complex matters to HR leadership. Enter and maintain accurate employee information in HRIS and other HR systems. Support HR projects, employee engagement initiatives, training activities, audits, and compliance documentation. Coordinate with managers, employees, payroll, benefits, safety, operations, and other departments as needed. Maintain strict confidentiality and exercise sound judgment when handling sensitive employee and business information. Perform other HR and administrative duties as assigned. Required Qualifications Minimum of 1 years of experience Human Resources, preferably in an HR Assistant, HR Coordinator, or similar administrative role. High school diploma or equivalent required. Bilingual English/Spanish required. Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint. Strong written and verbal communication skills. Excellent organizational skills and attention to detail. Ability to manage multiple priorities, meet deadlines, and follow through on assignments. Ability to work independently while recognizing when to seek guidance or escalate matters. High level of professionalism, integrity, discretion, and reliability. Ability to maintain confidentiality when handling sensitive employee and business information. Preferred Qualifications College coursework or degree in Human Resources, Business Administration, or a related field. Experience with an HRIS, payroll, applicant tracking, or electronic document management system. Experience supporting employee onboarding, personnel file administration, recruiting, benefits, leave administration, training coordination, or HR compliance. Previous experience working in a fast-paced HR environment. Physical Requirements Ability to sit, stand, and walk for prolonged periods. Ability to lift up to 20 lbs. occasionally. Ability to operate standard office equipment and computer systems. Ability to communicate effectively in person and by telephone.
