Job DescriptionThe HR Office Assistant (Temporary) provides administrative support to the Human Resources department by assisting with recruitment, onboarding, employee records, and compliance activities. This role helps maintain accurate and confidential personnel records, supports day-to-day HR operations, and assists with HR initiatives to ensure efficient and effective delivery of human resources services.

Essential job duties:

Answer and direct incoming phone calls, take messages, and provide administrative support to employees, applicants, and visitorsProvide administrative and clerical support to the Human Resources department, including filing, document preparation, correspondence, copying, scanning, and record maintenanceOperate standard office equipment, including copiers, scanners, fax machines, and other office technologyMaintain organized, accurate, and confidential HR filing systems, including electronic and paper personnel recordsEnter, update, and maintain employee information in HR databases, spreadsheets, and filing systems, ensuring accuracy and confidentialityAssist with monitoring office and HR supply inventory; prepare purchase requests or purchase orders and coordinate department purchases as neededAssist with scheduling meetings, interviews, orientations, training sessions, conferences, travel arrangements, and other department activities as assignedSupport employee recognition and engagement programs, including Employee of the Month, birthdays, service anniversaries, and other employee appreciation initiatives by preparing recognition materials, managing inventories, and coordinating timely distributionAssists with new hire onboarding by preparing onboarding materials, scheduling orientations, creating personnel files, and ensuring new hire files are completeSupport employee separation process by preparing separation paperwork, maintaining required documentation, and appropriately archiving personnel filesMaintain accurate, complete, and confidential employee personnel files in accordance with company policies, legal requirements, and record retention guidelinesConduct periodic audits of personnel files, including Form I-9, tuberculosis (TB) documentation, licenses, certifications, and HR records to ensure accuracy and complianceAssist with employment verification requests, Employment Development Department (EDD) forms, and other employment-related documentationSupport recruitment activities by posting job openings, scheduling interviews, coordinating candidate communications, and assisting with applicant trackingEnsure confidentiality of employee information and sensitive HR records while adhering to company policies and applicable federal, state, and local regulations. Perform other related duties and special projects as assignedQualificationsHigh school diploma or equivalent required; associate's degree in Human Resources, Business Administration, or a related field preferredOne (1) year of administrative, clerical, customer service, or office support experience preferredExperience using Microsoft Office Suite required; experience with an HRIS is preferredClearance of

Skills, Knowledge:
Excellent verbal and written communication skillsStrong interpersonal and customer service skillsBasic computer skills, including proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).Strong organizational skills with attention to detail and accuracyEffective time management skills with the ability to prioritize multiple tasks and meet deadlines.

Office environment; fast-paced work, constant interruptionsPhysical requirements: Hearing and speaking to exchange information, make presentations and communicate over the telephone; seeing to read, prepare, and proofread documents and view computer monitors; sitting or standing for extended periods of time; dexterity of hands and fingers to operate a computer keyboard and other office equipment; kneeling, bending at the waist, and reaching overhead, above the shoulders and horizontally, to retrieve and store files and supplies; lifting light objects; ability to go to sites apart from primary office to conduct business.
Schedule:
Monday•Friday, 7:30 am•4:30 pm
Pay Range:
$19.00•$22.00/Hour. Final compensation will be dependent upon skills & experience.

This is a temporary role from August 1, 2026, to February 1, 2027.Additional InformationWonderful College Prep Academy offers highly competitive compensation, commensurate with experience. Full-time staff benefits include medical coverage, dental, vision, and life insurance at no cost to the employee.
