WHAT YOU DO
We are seeking a highly organized, people-first HR Coordinator to serve as the operational backbone of our HR function. Reporting to the Head of HR, you will be the on-site HR presence at InLog—handling the day-to-day employee experience, HR administration, and compliance operations that keep our growing workforce running smoothly. This is a high-trust role that requires someone who takes initiative, communicates clearly, and genuinely cares about getting the details right. You will own HR administrative processes end-to-end, act as the first point of contact for employee questions, and partner closely with leadership and the Head of HR to ensure our people operations are compliant, consistent, and employee-friendly.
KEY RESPONSIBILITIES HR
Administration & Recordkeeping:
Maintain accurate and up-to-date employee records, manage I-9 and onboarding documentation, and ensure files are organized and audit-ready at all times.
Onboarding & Offboarding:
Coordinate full-cycle onboarding and offboarding—from offer acceptance through Day 1 orientation to final separation paperwork—ensuring every employee transition is smooth, compliant, and professional.
Employee Relations Support:
Serve as the on-site, approachable first point of contact for employee questions on policies, benefits, and HR processes. Escalate complex issues to the Head of HR with context and care.
Payroll & Benefits Coordination:
Support payroll processing in partnership with payroll and finance teams; assist with benefits enrollment, changes, and carrier communications.
Compliance & Policy:
Ensure HR processes comply with federal, state (CA), and DOT regulations. Help maintain and distribute company policies; support handbook acknowledgments and training completion tracking.
HRIS Administration:
Enter, update, and audit data in the HRIS; support system transitions and integrations as needed.
Recruiting Support:
Support full-cycle recruiting across the organization—coordinating interview scheduling, managing candidate communications, and assisting with job postings and offer letter preparation. Take full ownership of Class A CDL driver recruitment, including pre-hire processes (background checks, DOT drug & alcohol testing, MVR reviews, and medical certifications) through onboarding completion.
Reporting & Projects:
Pull standard HR reports and support ad hoc people operations projects as directed by the Head of
HR. WHAT YOU'VE DONE HR
Experience:
2+ years in an HR Coordinator, HR Generalist, or HR Administrator role, ideally in a logistics, transportation, or operations-heavy environment. Experience supporting a DOT-regulated workforce or trucking operation is a strong plus.
California HR Knowledge:
Working familiarity with California employment law—including leave laws, wage and hour requirements, and termination practices.
HRIS Proficiency:
Hands-on experience with an HRIS platform (Insperity, ADP, Paylocity, or similar); comfortable learning new systems quickly.
Detail Orientation:
Known for your ability to manage multiple priorities and deadlines without letting anything slip—you treat compliance and accuracy as non-negotiable.
Communication Skills:
Clear, professional written and verbal communication; able to handle sensitive conversations with empathy and discretion.
Self-Starter:
You don't wait to be told what to do. You see what needs to happen and you make it happen—especially in a fast-moving environment where priorities can shift.
