Senior Payroll, HR & Property Administrator Shwerwood Oaks Health Center Hayward, CA Job Details Full-time $33 - $40 an hour 4 hours ago Benefits Paid holidays Health insurance Dental insurance 401(k) Paid time off Vision insurance 401(k) matching Retirement plan Qualifications Employee data management Attention to detail QuickBooks Organizational skills Office management Full Job Description Senior Payroll, HR & Property Administrator About the Position We are seeking an experienced, organized, and dependable Senior Payroll, HR & Property Administrator to support our healthcare management and commercial real-estate operations. Our management company supports three California skilled nursing facilities and approximately 15 management/office/rehab employees. This position will serve as the central point for payroll and HR administration across multiple entities and will also provide administrative support for two commercial real-estate LLCs with approximately 29 tenants. This is a hands-on position for someone who takes ownership of their work, follows through on issues, and is comfortable coordinating with facility managers, employees, CPAs, tenants, leasing brokers, and maintenance personnel. Key Responsibilities Payroll Administration Coordinate payroll for three skilled nursing facilities and the management company. Review employee timecards for accuracy before payroll processing. Track and resolve missed punches and timecard corrections. Review overtime and identify unusual or excessive overtime. Verify PTO, sick leave, shift differentials, bonuses, and other payroll adjustments. Process approved wage changes and payroll adjustments. Coordinate new-hire payroll setup and employee terminations. Review payroll reports before submission. Maintain documentation supporting payroll changes. Prepare payroll exception and overtime reports for management. Coordinate with facility administrators, office managers, and department managers regarding payroll issues. HR Administration Maintain organized and confidential employee personnel records. Coordinate new-hire onboarding and employment documentation. Track employee status and wage changes. Maintain leave-of-absence tracking. Assist with employee benefits administration. Coordinate workers' compensation documentation and follow-up. Assist with routine HR correspondence and employee documentation. Maintain accurate records of terminations, resignations, promotions, and other employment changes. Property & Tenant AdministrationProvide administrative support for two commercial properties with approximately 29 tenants.

Responsibilities include: Track monthly rent payments. Identify and follow up on late or missing payments. Maintain a master tenant and lease schedule. Track lease expiration and renewal dates. Track scheduled rent increases. Maintain lease amendments and tenant records. Communicate professionally with tenants regarding routine matters. Coordinate lease renewals and leasing matters with outside brokers. Coordinate tenant maintenance requests with our maintenance manager. Maintain certificates of insurance and other tenant documentation. Organize financial information and supporting documents for the CPA. Assist with basic QuickBooks recordkeeping as needed. Major leasing negotiations are handled by outside leasing brokers, and physical repairs are handled by our maintenance personnel.

Accounting CoordinationOur outside CPAs handle financial statements, accounting, and tax work.

This position will: Maintain accurate supporting records. Organize and provide requested documents to the CPAs. Follow up on missing accounting information. Assist with basic QuickBooks entries and recordkeeping. Coordinate accounting information for the real-estate LLCs. This is not a Controller or CPA position.

Qualifications 3+ years of payroll, HR administration, bookkeeping, or comparable office-management experience. Strong payroll and timekeeping experience. California payroll and HR experience strongly preferred. Experience handling overtime, missed punches, PTO, payroll adjustments, new hires, and terminations. Strong Excel skills. QuickBooks experience preferred. Excellent organization and attention to detail. Strong follow-through and problem-solving skills. Professional written and verbal communication. Ability to handle confidential employee and financial information. Ability to manage multiple companies, priorities, and deadlines independently. Reliable attendance and ability to maintain a consistent business-hours schedule. Experience in healthcare, skilled nursing, multi-location payroll, or commercial property administration is highly desirable.

Compensation & BenefitsPay:
$33.00-$40.00 per hour, depending on qualifications and experience.
