About Chamberlin Care Chamberlin Care is a licensed Home Care Organization (HCO #304700368) serving clients throughout Southern California. We provide compassionate in-home care and support to seniors, individuals with disabilities, and individuals with developmental and behavioral needs. Our mission is to strengthen individuals and families by promoting independence, dignity, safety, and quality of life in the home and community. We are looking for a Staffing Assistant who is organized, dependable, compassionate, and able to thrive in a fast-paced environment. This person will play an important role in making sure our clients receive consistent, reliable care while supporting our caregivers in the field. Job Summary The Staffing Assistant is responsible for coordinating caregiver schedules, filling open shifts, communicating with caregivers and clients, and helping ensure that our daily operations run smoothly. The ideal candidate is someone who takes ownership of their responsibilities, communicates professionally, follows through, and can remain calm and solution-oriented when unexpected scheduling challenges arise. Key Responsibilities Coordinate and maintain caregiver schedules for clients throughout Southern California Match caregivers with client needs based on availability, experience, location, and compatibility Fill open shifts and respond quickly to call-offs, cancellations, and other staffing changes Communicate clearly and professionally with caregivers, clients, families, and members of the Chamberlin Care team Confirm caregiver schedules and assignments and follow up when necessary Monitor attendance, punctuality, schedule changes, and staffing coverage Maintain accurate scheduling records and documentation Build positive working relationships with caregivers and help keep them engaged and supported Respond to caregiver and client concerns and escalate issues appropriately Assist with onboarding and scheduling new caregivers as needed Protect client confidentiality and handle sensitive information professionally Participate in an on-call or after-hours rotation as needed Proactively review upcoming schedules to identify coverage gaps before they become urgent Communicate difficult-to-fill shifts, geographic gaps, or specific caregiver needs to Recruiting so we can hire based on current staffing needs What We're Looking For We are looking for someone who is: Highly organized and able to manage multiple priorities at once Reliable and accountable — someone who does what they say they will do A strong communicator who is comfortable speaking with caregivers, clients, and families Compassionate and people-oriented Calm under pressure and able to handle last-minute changes without becoming overwhelmed Proactive and willing to take initiative rather than waiting to be told what to do Detail-oriented, especially when managing schedules, times, locations, and client needs A problem solver who can quickly find solutions when staffing issues arise Professional and respectful in all interactions Comfortable making phone calls, sending messages, and following up consistently Comfortable working in a fast-paced home-care environment Able to work as part of a team while also taking ownership of individual responsibilities Preferred Qualifications Previous experience in home care, healthcare, staffing, scheduling, recruiting, or a related field Experience scheduling caregivers or other field-based employees Experience with scheduling software or electronic scheduling systems Knowledge of Orange County and surrounding Southern California communities Previous experience working with seniors, individuals with disabilities, or other vulnerable populations Bilingual English/Spanish Healthcare or home-care experience is preferred, but we are willing to train the right person.
