We are seeking a professional, organized, and detail-oriented HR Administrative Assistant / Receptionist to join our team in a fast-paced manufacturing environment. This role serves as the first point of contact for employees, applicants, visitors, vendors, and customers while providing administrative support to the Human Resources department. ResponsibilitiesFront Desk & Reception Greet and assist employees, applicants, visitors, vendors, and customers in a professional manner. Answer, screen, and route incoming calls. Maintain company visitor and security procedures, including visitor badges and access protocols. Receive and direct visitors to appropriate departments. Sort and distribute incoming mail and deliveries. Maintain a clean, organized, and professional reception area. Support general front office administrative functions. Human Resources Support Provide day-to-day administrative and clerical support to the HR department. Schedule interviews and coordinate candidate visits. Communicate with candidates throughout the recruiting process. Assist with job postings and applicant tracking records. Support onboarding activities, including new hire paperwork and employee file creation. Enter and maintain employee information in HR systems and spreadsheets with a high degree of accuracy. Scan, file, organize, and maintain confidential HR documents and records. Prepare HR forms, reports, correspondence, and other documentation. Assist with employee communications, orientations, training sessions, and special projects. Track certifications, compliance documents, and other HR-related records. Maintain strict confidentiality of employee and applicant information. Administrative Support Coordinate onsite meetings, including room setup, materials, and catering arrangements. Prepare and distribute meeting materials as needed. Assist with special projects and other duties assigned by the HR Manager. Qualifications High school diploma or equivalent required. 1-2 years of administrative, receptionist, customer service, or office experience preferred. HR, recruiting, or onboarding experience is a plus. Strong proficiency with Microsoft Office (Word, Excel, Outlook, and PowerPoint). Excellent organizational and time management skills. Strong verbal and written communication abilities. Ability to multitask and prioritize in a fast-paced environment. Professional demeanor with strong customer service skills. Ability to maintain confidentiality and handle sensitive information. Must be eligible to comply with ITAR and EAR requirements. Bilingual English/Spanish preferred.
