As our Administrative & HR Assistant , you will play a key role in ensuring the smooth day-to-day operations of our office while supporting our mission to provide comfort and care to families with children facing medical challenges.

Schedule:
Full-time hours, while earning a competitive hourly wage.
What You'll Do:
Assist with payroll processing, timecard corrections and benefits administration. Maintain time off logs for sick and vacation time for employees. Assist with performance and annual review documents. Support onboarding and orientation processes for new hires. Maintain employee birthdays and anniversaries for staff appreciation. Assist in getting recognition gifts. Track employee's mandatory trainings. Prepare HR-related reports and documentation as needed. Maintain donor tracking sheet file. Run monthly report in exceed to track in kind donations. Attend all Board Meetings, prepare the agendas and presentation materials, setup conference room, take the minutes, attendance and maintain file including signed minutes. Maintain past and present Board paperwork. Schedule Board and various committee meetings. Prepare and edit various documents, reports and presentations. Handle sensitive and confidential information with discretion. Maintain Vendor files to ensure invoices are scanned in the public file correctly, marked paid and have CEO and Controller signature. Hard copies filed in accounts payable file cabinet. Accounts Payable checks are mailed and invoices filed on same day received. Take deposits to the bank as requested from controller. Typically one to two times a week. Scan and file deposit transaction reports. Maintain postage log and month end postage report. Update funds and supplies for postage as needed. Initiate fed-ex service as needed. Coordinate and maintain compliance with company policies and procedures. Maintain master file for small and large conference room usage. Maintaining office supplies inventory. Review and order office supplies for departments. Maintaining office equipment such as copier, postage and fax machines. Liaison between organization and sales representatives. Provide administrative support to management and with HR-related issues.
Qualifications:
Some college education or relevant certification (HR preferred). 2+ years of experience in an administrative or HR role. Strong multitasking, communication, and organizational skills. Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook). Ability to handle sensitive information with the utmost confidentiality.
