Job Description
Job Overview Under the general supervision of the Director of Human Resources, the Front Desk Receptionist serves as the initial point of contact for all visitors and incoming calls. This position is responsible for managing front desk operations, maintaining a professional and welcoming reception area, and providing administrative support to various departments, including Human Resources. The role requires a high level of discretion, professionalism, and organizational skill in handling sensitive information and supporting daily office functions. Duties
- Greet and assist visitors in a courteous and professional manner.
- Answer and route incoming telephone calls to appropriate personnel or departments.
- Provide general information regarding company services, policies, and procedures.
- Maintain the cleanliness and organization of the reception area.
- Receive, sort, and distribute incoming mail, packages, and deliveries.
- Schedule appointments and manage calendars for designated staff members.
- Perform general clerical duties including data entry, filing, photocopying, and faxing.
- Monitor and maintain office inventory and supplies.
- Coordinate office maintenance requests and follow up to ensure timely resolution.
- Assist with office management tasks and provide support to senior staff as needed.
- Provide administrative support to the Human Resources team, including processing employment verifications and responding to unemployment claims.
- Update and maintain DOT-related records, including vehicle registration and driver credentials in the company's Dossier system.
- Collect and compile quarterly mileage totals from bus driver logs for DOT compliance reporting
- Handle confidential and sensitive information with discretion and in accordance with company policies.
- Ability to Cross train on other duties to assist the rest of the staff as needed.
- Other tasks might be assigned. Qualifications
- High school diploma or equivalent required; associate degree or higher preferred.
- Minimum of one (1) year of experience in a receptionist or administrative support role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Familiarity with Famous Software is preferred but not required.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Attention to detail and accuracy in clerical tasks.
- Ability to maintain confidentiality and exercise sound judgment.
- Demonstrated ability to work independently and collaboratively in a fast-paced environment.
