Human Resources Manager About United Behavior Consultants United Behavior Consultants (UBC) is an established Applied Behavior Analysis (ABA) provider dedicated to delivering high-quality behavioral services to children and families. Our team works collaboratively to support clients, families, and employees while maintaining high standards of clinical care, professionalism, and compliance. We are looking for a Human Resources Assistant who is organized, dependable, detail-oriented, and passionate about supporting employees in a fast-paced healthcare/behavioral services environment. Position Summary The Human Resources Assistant will provide administrative and operational support to the Human Resources department and assist with the employee lifecycle from recruitment and onboarding through ongoing employment. This position is ideal for someone who enjoys working with people, is highly organized, maintains confidentiality, and can manage multiple priorities while paying close attention to detail. The HR Assistant will work closely with HR leadership, clinical leadership, and administrative teams to help ensure employees have a positive and organized experience at UBC while supporting compliance with company policies and applicable employment requirements. Essential ResponsibilitiesRecruiting & Hiring- Communicate with candidates throughout the recruitment process.
- Assist with reference checks, background checks, and pre-employment requirements.
- Maintain accurate recruitment records and applicant information.
- Assist with recruiting events, job fairs, and other hiring initiatives. Onboarding & New Hire Support
- Prepare new hire paperwork and onboarding materials.
- Coordinate new employee onboarding and orientation.
- Assist with employment eligibility verification and required documentation.
- Ensure new hire files are complete and properly maintained.
- Track completion of required trainings, certifications, and onboarding requirements.
- Communicate with new employees regarding onboarding questions and next steps.
- Coordinate with other departments to ensure new employees are ready to begin work. Employee Records & HR Administration
- Maintain accurate and confidential employee personnel files.
- Update employee information in HR and payroll systems.
- Assist with employee status changes, promotions, transfers, and separations.
- Maintain tracking spreadsheets and HR reports.
- Assist with preparation and distribution of employment-related documents.
- Support the HR department with audits and personnel file reviews.
- Ensure HR records are organized and up to date. Employee Support
- Serve as a professional and responsive point of contact for routine employee HR questions.
- Assist employees with questions regarding company policies, procedures, benefits, and HR processes.
- Escalate sensitive or complex employee relations matters to the Human Resources Manager.
- Help communicate HR announcements, policies, and updates to employees.
- Support employee engagement and recognition initiatives. Compliance & Training
- Assist with tracking required employee certifications, licenses, clearances, and training.
- Monitor upcoming expiration dates and communicate requirements to employees and managers.
- Assist with maintaining compliance documentation.
- Support internal HR audits and compliance projects.
- Help ensure HR processes are consistently followed across the organization.
- Maintain confidentiality of employee and company information at all times. General HR Support
- Assist the Human Resources Manager with daily HR operations and special projects.
- Prepare reports, spreadsheets, correspondence, and other HR documents.
- Assist with employee events and company initiatives.
- Help improve HR processes and administrative systems.
- Perform other duties as assigned.
Qualifications Required:
- High school diploma or equivalent; associate or bachelor's degree in Human Resources, Business Administration, or a related field preferred.
- 1+ year of administrative, HR, recruiting, or office experience preferred.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Ability to handle confidential information professionally.
- Ability to prioritize multiple tasks in a fast-paced environment.
- Proficiency with Microsoft Office, Google Workspace, or similar software.
- Professional, positive, and customer-service-oriented approach.
Preferred:
- Previous experience in healthcare, behavioral health, ABA, or another service-based organization.
- Experience with applicant tracking systems, HRIS platforms, or payroll systems.
- Knowledge of California employment practices and HR compliance.
