Full Job Description Overall Purpose:
The Human Resources / Sales Assistant provides branch-level Human Resources support while assisting with sales administration, customer service, accounting, inventory, purchasing, and general office operations. This position serves as the primary liaison between branch employees and the Human Resources Department regarding onboarding, attendance administration, benefits enrollment, employee communications, and other HR-related matters. The role also supports sales operations through order entry, invoicing, reporting, inventory control, and customer service activities. Reporting directly to the Sales Administration Supervisor, this position maintains a strong dotted-line relationship with the Human Resources Department and Branch Manager to support HR initiatives, ensure consistent application of company policies and procedures, and facilitate effective communication between branch employees and Human Resources. The Human Resources / Sales Assistant is responsible for ensuring the accurate and timely completion of HR, administrative, financial, inventory, and compliance-related processes while maintaining a high level of professionalism and confidentiality. This position regularly interacts with customers, vendors, employees, and corporate personnel in a diverse business environment. Bilingual proficiency in English and Japanese, including speaking, reading, and writing, is required. Strong verbal and written communication skills, customer service abilities, and the capacity to work effectively with individuals from diverse cultural and professional backgrounds are essential.
Duties & Responsibilities:
Human Resources Support
  • Serve as the primary liaison between branch employees and the Human Resources department regarding onboarding, attendance, benefits administration, HR communications, and related employee matters.
  • Review employee and driver timecards and attendance records.
  • Submit driver absence reports, lunch reports, and other attendance-related documentation to Human Resources.
  • Prepare and process new hire onboarding documents and employment paperwork.
  • Assist with new hire orientation and onboarding activities.
  • Support benefit enrollment administration and distribute enrollment materials.
  • Coordinate the distribution of 401(k) notices and other required employee communications.
  • Maintain and distribute HR notices, labor law postings, and workplace communications.
  • Assist employees with routine HR-related questions and direct more complex matters to Human Resources.
  • Maintain confidentiality of employee information and personnel records.
  • Support additional Human Resources administrative functions as assigned. Sales Administration and Customer Support
  • Generate and distribute daily and prior-day sales reports.
  • Generate invoices and enter shipment weights into the system.
  • Attach supporting documentation, including packing lists and delivery records.
  • Email driver route and inventory information to sales personnel.
  • Enter sales orders, interdepartmental sales, and employee sales transactions.
  • Provide customer service support and respond to customer inquiries.
  • Assist with establishing credit references for prospective customers.
  • Support sales personnel with reporting and administrative functions. Accounts Receivable
  • Process remote deposits of customer check payments.
  • Process cash deposits and maintain supporting documentation.
  • Submit deposit information to Headquarters for processing.
  • Prepare weekly ACH withdrawal request reports.
  • Assist with customer account inquiries and collections support.
  • Support Accounts Receivable activities as assigned. Accounts Payable
  • Process vendor invoices and purchase order documentation.
  • Submit payable documentation to Headquarters for processing.
  • Respond to vendor inquiries and assist with payment-related matters.
  • Support Accounts Payable activities as assigned. Administrative Support
  • Maintain organized office operations and administrative records.
  • Scan, file, and maintain physical and electronic documents.
  • Prepare and process FedEx and air cargo shipments, including shipping labels and required documentation.
  • Coordinate route updates, including holiday schedules and changes.
  • Assist with driver uniform orders and administration of monthly rental fees.
  • Register and update company vehicle information.
  • Prepare documentation for annual and random audits.
  • Update vendor records and compliance documentation.
  • Support visitor hospitality by preparing and providing refreshments for guests, customers, and meetings as appropriate.
  • Maintain cleanliness and organization throughout office facilities, including reception areas, conference rooms, storage rooms, break rooms, restrooms, and common areas.
  • Perform other duties as assigned.
Qualifications/Requirements:
Education and Experience
  • High school diploma or equivalent required.
  • Bachelor's degree in Business Administration, Human Resources, or a related field, or an equivalent combination of education and relevant professional experience preferred.
  • One to two years of administrative, office support, customer service, accounting, human resources, or related experience preferred.
  • Experience in distribution, logistics, food service, or warehouse operations is a plus. Knowledge, Skills, and Abilities
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and email applications.
  • Ability to manage multiple priorities while maintaining accuracy and attention to detail.
  • Ability to work independently and collaboratively in a team environment.
  • Ability to maintain confidentiality and handle sensitive employee information with discretion.
  • Ability to communicate effectively with employees, customers, vendors, and corporate personnel in a multicultural and multilingual environment.
  • Fluency in English and Japanese, including speaking, reading and writing, is required.
Physical Demands:
  • Regularly lift and move up to 10 pounds.
  • Frequently lift and move up to 25 pounds.
  • Occasionally lift and move up to 50 pounds.
  • Frequently sit, stand, walk, reach, bend, stoop, kneel, crouch, and perform repetitive hand movements.
  • Must be able to effectively operate computers, office equipment, and standard business technology.
  • Specific vision abilities include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
Work Environment:
  • Primarily performed in an office environment with moderate office equipment noise.
  • Occasional work in warehouse areas to support receiving, shipping, and inventory activities.
  • Interaction with diverse employees, customers, and vendors in a multilingual workplace.
  • Standard 40-hour workweek with occasional additional hours as needed to meet business demands.
Pay:
$26.00 - $29.00 per hour Expected hours: 40.0 per week
