Job Description

Position Summary We are seeking a highly organized, detail-oriented, and bilingual (English/Spanish) Human Resources Assistant to support our HR department during a temporary assignment lasting approximately 8 to 12 weeks. The ideal candidate is experienced in California human resources practices, proficient in ADP, and able to manage confidential employee information with accuracy and professionalism. This position requires exceptional organizational skills, strong data entry accuracy, and the ability to work independently in a fast-paced environment. The successful candidate will also be comfortable using artificial intelligence (AI) tools to improve efficiency, support HR processes, and assist with administrative tasks while maintaining confidentiality and data integrity. Essential Duties and Responsibilities Provide administrative support to the Human Resources department. Process new hire paperwork, onboarding, employee changes, and terminations. Maintain accurate employee records and personnel files while ensuring confidentiality. Perform high-volume, accurate data entry into HRIS and payroll systems. Utilize ADP at an advanced level for employee maintenance, reporting, payroll support, and HR administration. Assist with employee onboarding and orientation. Coordinate background checks, employment verification, and I-9 documentation. Support benefits administration and employee communications. Prepare HR reports, spreadsheets, presentations, and other documents. Assist with recruiting activities, including scheduling interviews and communicating with candidates. Respond to employee questions regarding HR policies and procedures. Ensure compliance with California employment laws and company policies. Maintain organized electronic and paper filing systems. Use Microsoft Excel to create reports, track data, and analyze information. Develop presentations and training materials using Microsoft PowerPoint. Utilize AI tools responsibly to improve workflow efficiency, assist with document preparation, data analysis, drafting communications, and administrative processes while maintaining confidentiality and compliance. Perform other HR and administrative duties as assigned. Required Qualifications High school diploma or equivalent required; Associate's or Bachelor's degree in Human Resources, Business Administration, or related field preferred. Minimum of 2 years of Human Resources administrative experience. Advanced proficiency with ADP Workforce Now or comparable ADP platform. Bilingual in English and Spanish (reading, writing, and speaking) is required. Strong knowledge of California employment laws, including wage and hour requirements, paid sick leave, meal and rest breaks, leaves of absence, and employee documentation. Experience maintaining confidential employee records. Exceptional data entry accuracy and attention to detail. Strong organizational and time management skills. Excellent verbal and written communication skills. Proficiency in Microsoft Office Suite, including: Excel (advanced) PowerPoint Word Outlook Comfortable learning and utilizing AI technologies to enhance productivity and administrative efficiency. Ability to prioritize multiple tasks while meeting deadlines. Strong problem-solving skills and ability to work independently. Professional demeanor and excellent customer service skills. Preferred Qualifications Experience in manufacturing, distribution, logistics, or similar industries. Experience supporting payroll processing. Experience with HRIS reporting and auditing. SHRM or HRCI certification is a plus. Knowledge, Skills, and Abilities Strong understanding of HR best practices and California employment regulations. Ability to handle sensitive and confidential information with discretion. High level of accuracy and attention to detail. Strong analytical and organizational abilities. Excellent interpersonal skills and ability to work collaboratively. Proficiency with office technology and digital collaboration tools. Ability to quickly adapt to changing priorities. Physical Requirements Ability to sit for extended periods while working at a computer. Ability to occasionally lift up to 20 pounds. Pay:
$25.48 - $29.00 per hour
