Job Description

Office Coordinator We are seeking a highly organized, professional, and personable Office & HR Coordinator to join our team at our facility in New Haven County. This role is far more than a traditional receptionist position, serving as a key extension of our Human Resources team and representing the face of our organization. You will train alongside our team before providing coverage through early Spring. Front Desk & Visitor Experience :

Warmly greet all visitors, vendors, and candidates, ensuring a secure, professional, and welcoming lobby environment.

Human Resources Support:

Assist the HR team with onboarding new hires, leading/coordinating new hire meetings, scanning/filing personnel documents, and assisting with general HR administration.

•

Talent Acquisition Coordination:

Partner with temporary staffing agencies and the internal Talent Acquisition team to schedule and coordinate candidate interviews.

•

Office & Supply Management:

Monitor and order office supplies, manage incoming employee requests, and maintain general office organization.

•

Sales & Guest Support:

Assist the sales department by organizing customer tours, managing conference room schedules, and coordinating catering arrangements.

•

Internal Communications:

Maintain and update lobby display monitors with announcements, upcoming events, and milestone recognitions.

•

Culture & Events:

Actively participate in planning and executing team events, employee appreciation activities, and site celebrations. Qualifications & Skills

•

Experience :

Previous experience in an administrative, receptionist, or office support role (HR support experience is a strong plus).

•

Professionalism :

High degree of discretion, confidentiality, and a presentable, polished demeanor.

•

Communication:

Exceptional interpersonal and verbal communication skills; comfortable interacting with leadership, clients, and new hires alike.

Organization & Initiative :

Strong time-management skills with a proactive, self-starter mindset and keen attention to detail.

•

Technical Skills :

Tech-savvy with proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and digital display/scheduling systems. Key Highlights & Scope of Work

This role is much more than standard receptionist duties—the ideal candidate acts as a crucial extension of our local Human Resources and Operations teams.

Core Responsibilities:

Front Desk Management:

Greeting clients, guest registration, maintaining a warm and polished lobby environment. o

HR & Recruitment Support:

Assisting with new hire onboarding/meetings, candidate interview scheduling with our Talent Acquisition team and temporary agencies, and handling sensitive employee documentation. o

Sales & Executive Support:

Coordinating room bookings, catering, and logistics for sales customer tours and executive visits. o

Office Administration & Culture:

Managing supply inventory, updating lobby communications/monitors, and helping plan/coordinate internal employee events and celebrations.

Pay:

$28.00 - $30.00 per hour Expected hours: 40.0 per week
