Our multidisciplinary team includes Speech-Language Pathologists, Occupational Therapists, Physical Therapists, BCBA/ABA professionals, and therapy assistants . We are looking for an organized, proactive, and people-focused HR Assistant to support our growing team and help ensure a smooth and positive employee experience from recruitment through onboarding and beyond. Position Summary The HR Assistant will provide administrative and operational support to the Human Resources department, with a strong focus on recruitment, candidate communication, onboarding, employee records, scheduling, and general HR coordination . The ideal candidate is highly organized, detail-oriented, professional, and comfortable communicating with candidates, employees, managers, and healthcare professionals. Experience in a healthcare, pediatric, therapy, or fast-paced office environment is a plus. Key ResponsibilitiesRecruitment & Hiring Assist with recruiting for clinical and administrative positions, including OT, PT, SLP, BCBA, RBT, therapy assistants, and other staff. Review resumes and applications and identify qualified candidates. Communicate with candidates regarding available opportunities, interviews, follow-ups, and next steps. Schedule and coordinate virtual and in-person interviews. Maintain candidate tracking and recruitment records. Follow up with candidates regarding offers, contracts, credentialing, and onboarding requirements. Assist with job postings and updating recruitment advertisements across hiring platforms. Help maintain a strong candidate experience and professional communication throughout the hiring process. Onboarding Coordinate new-hire onboarding and ensure required documents are completed. Assist with collecting employment, credentialing, licensing, background check, and other required documentation. Coordinate orientation and initial training schedules. Maintain accurate and confidential employee files. Follow up with new employees to ensure all onboarding requirements are completed timely. Employee Support & HR Administration Serve as a point of contact for routine HR questions and direct employees to the appropriate resources when needed. Assist with employee communications, HR announcements, and internal correspondence. Maintain employee records and update HR databases and tracking systems. Assist with monitoring employee documentation, certifications, licenses, and expiration dates. Support employee status changes, new hires, terminations, and other HR-related administrative processes. Assist the HR Manager with employee relations documentation and follow-up as needed. Maintain confidentiality of employee and candidate information at all times. General Administrative Support Prepare HR reports, spreadsheets, trackers, and correspondence. Assist with scheduling meetings and interviews. Maintain organized electronic and physical HR records. Support HR projects, policies, and process improvements. Assist with compliance-related documentation and internal audits. Perform other HR and administrative duties as assigned. Qualifications High school diploma or equivalent required; Associate's or Bachelor's degree in Human Resources, Business Administration, Healthcare Administration, or a related field preferred. Previous experience in HR, recruiting, office administration, or a related role preferred. Healthcare or pediatric therapy experience is a plus. Strong organizational and time-management skills. Excellent written and verbal communication skills. Professional and friendly communication style. Strong attention to detail and follow-through. Ability to manage multiple priorities in a fast-paced environment. Proficiency with Microsoft Office, Google Workspace, spreadsheets, and email. Comfortable learning and using HR, recruiting, scheduling, and other administrative software. Ability to handle confidential information with discretion. Must be dependable, proactive, and able to work independently as well as part of a team.
