Job Summary:
The Coordinator of Substitute & Absence Management is a vital and supportive member of the PCSD team, working collaboratively with educators, support staff, and administration to achieve the shared goal of ensuring all students receive the education they need to succeed both today and tomorrow. This role is performed within a office environment, overseen by Executive Director of Human Resources, where teamwork and dedication to student success are paramount.

Primary Function:
Coordinates the substitute program and absence management system including onboarding actions or changes to include processing electronic forms and substitute applications, updating information in the HR Applicant Tracking System and absence management platform, verifying certification through the GAPSC website; coordinates substitute orientations, professional learning, and annual training requirements.

Qualifications:
Minimum of a high school diploma or GED
Three (3) years of clerical or secretarial experience involving frequent public contact, school district experience preferred
Intermediate level skills in word processing, spreadsheets, and composing written communication
Must be able to obtain and maintain the GCIC Security & Integrity Training Certification
The Board of Education and the Superintendent may accept alternatives to some of the above requirements.
Essential Functions:
1.
Coordinates onboarding actions or changes to include processing electronic forms and substitute applications, updating information in the HR Applicant Tracking System (ATS), and verifying certification through the GAPSC website; uses the HR ATS to retrieve applicant and employee information and enter new substitute data for processing.
2.
Creates and maintains Absence Management database information for employees and substitutes. Disperses information to schools and substitutes as needed.
3.
Maintain substitute information page on the website.
4.
Monitors daily absences by working with school administrators to resolve "unfilled" or "failed to fill" absences.
5.
Gathers data and contacts the vendor for technical support as needed; generates daily, monthly or annual reports for administration and sites as needed and requested; provides Absence Management user information and support for site administrators and employees.
6.
Retrieves substitute information from the HR Applicant Tracking System workflow. Serves as a liaison with substitutes and departments (Nutrition/Transportation/Nursing) to handle questions or offer assistance completing substitute onboarding documents in the HR Records system.
7.
Coordinates internal substitute orientation for new substitutes and refresher training and annual professional learning for existing substitutes.
8.
Serves as a liaison for staff by providing assistance with HR job fairs and application inquiries
9.
Serves as back up for fingerprinting/background checks for employees, contractors, and volunteers
10.
Serves as back up for badges for employees, contractors, and volunteers
11.
Provides Absence Management user information and employment paperwork for substitutes during application and hiring process; enters new substitute information into TalentEd, Payroll and Absence Management databases.
12.
Manages the annual purging of the Absence Management database and substitute applications in TalentEd.
13.
Assist and participate in special events sponsored by the Human Resources Department.
14.
Serves as final authority on substitute performance concerns and determines eligibility for continued employment.
15.
Establishes and maintains cooperative and effective relationships with others.
16.
Learns applicable sections of the State Education Code and other applicable laws.
17.
Learns District organization, operations, policies, and objectives.
18.
Adheres to legal statutes, organizational rules and community standards.
19.
Maintains successful working relationships with co-workers.
20.
Manifests emotional stability and maturity in all phases of job performance.
21.
Treats confidential information and sensitive situations with discretion and avoids gossip.
22.
Presents a professional image when representing Paulding County Schools through words, action and dress.
23.
Other duties as assigned by the Superintendent or designee.
