is an international engineering and consultancy company supporting the delivery of complex, mission-critical projects across the USA, Europe and globally. As our US operations continue to grow, we are looking for a highly organized and proactive Travel & HR Administrator to join our team in our Chicago office. This is a varied role supporting both the day-to-day travel requirements of our US teams and a range of HR and administrative activities. The successful candidate will work closely with our Recruitment, Operations, HR and project teams to help ensure our employees and contractors have the support they need from onboarding through to deployment and ongoing project assignments. Key Responsibilities Travel Coordination Coordinate domestic and international travel arrangements for employees and contractors, including flights, hotels and rental vehicles. Manage travel requirements for personnel mobilizing to and from project sites across the USA. Research travel options and make bookings in line with company requirements and project schedules. Manage changes, cancellations and last-minute travel requirements as needed. Maintain accurate travel records, itineraries and booking confirmations. Communicate travel arrangements clearly with employees, contractors and internal teams. Liaise with hotels, airlines, rental car providers and other travel suppliers where required. Assist with tracking travel costs and maintaining supporting documentation. Support international travel arrangements when required. HR & Administration Support the onboarding and offboarding of employees and contractors. Prepare and maintain employee and contractor documentation and records. Assist with new starter information, documentation and onboarding requirements. Coordinate with Recruitment, HR, Operations and project teams regarding upcoming starters and mobilizations. Maintain accurate employee information and internal records. Assist with general HR administration, letters, forms and documentation. Support benefits, payroll and employee information processes by ensuring relevant documentation is collected and provided to the appropriate teams. Respond to general employee queries and direct more complex HR matters to the appropriate person. Assist with maintaining HR systems, trackers and internal documentation. Provide general administrative support to the Chicago office and wider US operations as required. What We're Looking For Previous experience in administration, HR administration, travel coordination, office support or a similar role. Excellent organizational skills with strong attention to detail. Ability to manage multiple priorities and changing requirements in a fast-paced environment. Strong written and verbal communication skills. Confident working with employees, contractors, managers and external suppliers. Comfortable handling confidential and sensitive information. Strong Microsoft Office skills, particularly Outlook, Word and Excel. A proactive approach and willingness to take ownership of tasks. Experience coordinating corporate travel would be an advantage. Previous HR or employee administration experience would be an advantage. Pay:
$40,000.00 - $48,000.00 per year
