Job Description

Purpose of Position This position plays a key role in maintaining accurate employee records, ensuring smooth union and non-union onboarding, and providing reliable HR reporting for our heavy civil construction operations. Acting as a first-line customer service representative for our workforce, the HR Administrator delivers proactive, respectful, and dependable support to our field crews, supervisors, and office personnel while keeping critical employee processes running seamlessly.
Key Responsibilities Workforce Customer Service:
Serve as a welcoming, responsive, and solution-oriented point of contact for employees at all levels, ensuring field crews and supervisors receive fast, accurate support on HR inquiries.
System Administration:
Act as the primary administrator for the UKG Onboarding portal; manage employee data entries and cross-functional administrative workflows within Viewpoint by Vista.
Union & Workforce Support:
Assist with processing personnel changes, wage rate updates, and records in alignment with union master labor agreements and company guidelines.
Pre-Employment & Onboarding:
Oversee the entire pre-employment process, including background checks, drug screenings, MVRs, return-to-work physicals, and initial orientation, ensuring new hires have a positive onboarding experience and are job-site ready.
Compliance & Records:
Maintain DOT driver files, manage I-9 compliance, handle employment verifications, and uphold strict adherence to labor laws and company policies.
Vendor Coordination:
Partner with third-party HR vendors, occupational health clinics, and testing facilities to schedule services efficiently for our team members.
HR Administrative Operations:
Generate basic HR reports, process status changes, and manage high-volume administrative tasks with high accuracy and confidentiality.
Requirements Service Mindset:
Outstanding internal customer service skills with a practical, empathetic, and approachable communication style suitable for both field construction workers and executive leadership.
Experience:
Minimum 2-3 years of HR administrative experience; experience in construction, heavy civil, building materials, or skilled trades preferred.
Technical Savvy:
High proficiency with HRIS and ERP systems (UKG and Vista by Viewpoint experience strongly preferred), along with advanced Excel skills and digital file management.
Industry & Compliance Knowledge:
Working knowledge of DOT regulations, federal/state labor laws, and familiarity with union environments.
Core Competencies:
Exceptional attention to detail, strong problem-solving abilities, and an unwavering commitment to data confidentiality.
Education:
High School Diploma or G.E.D. required; an Associate's or Bachelor's degree in HR, Business, or a related field is a plus.
