We're currently looking for a Project Workforce Coordinator to support our Construction group's payroll/labor management function at our Sullivan, IN or Cedar Rapids, IA project locations. This role will own our daily time collection, timecard entry into COINS(our ERP system), payroll coordination, and eligibility tracking for project-specific incentive pay and per diem. This role enters and validates information for leadership approval but does not approve payroll or make unilateral eligibility decision. Responsibilities Collect daily time from superintendents, foremen, and field leaders; review for completeness; enter time in COINS for the proper approver; follow up on missing late, unclear or incomplete submissions. Confirm entries reflect the correct employee, date, job, cost code, phase, shift, hours, and applicable compensation designations before routing for approval. Maintain eligibility records based on approved labor incentive agreements, travel agreements, project letters, and project specific compensation documents. Track qualifications status by employee and work data. Make sure applicable incentive pay, per diem, travel, or other project-specific pay indicators are accurately denoted in COINS timecard submissions before approval routing. Serve as the project point of contact for routine time entry/payroll coordination with the APi HVAC Shared Services Payroll team. Support questions, corrections, documentation requests, and weekly payroll handoffs. Provide a simple, repeatable process for field leaders to submit time and pay designation information. Maintain templates, logs, checklists and escalation notes for unresolved issues. Required skills and qualifications 1 to 3 or more years of experience in an administrative/payroll associated role supporting multiple teams or leaders. Excellent written and verbal communication skills Strong time-management skills and an ability to organize and coordinate multiple concurrent projects Proficiency with Microsoft Office and a high aptitude for learning new software and systems Flexible team player and comfortable with ambiguity willing to adapt to rapid changes and unafraid of challenges Demonstrates a high level of integrity Self-starter with ability to recognize opportunities and take action with limited direction or supervision
