Job Description

The Business Operations Coordinator is a key member of the SOMC team responsible for coordinating business and home leave travel while also providing administrative support to SOTG Human Resources and Organizational Development initiatives. This role ensures travel requests are handled efficiently, cost-effectively, and in compliance with company policy. In addition, the role supports HR operations by assisting with training and conference coordination, recruitment logistics, and administrative functions related to employee development programs. This position operates in a dual-function capacity, supporting both the SOMC Travel Desk and SOTG HR initiatives to ensure efficient operational support across the organization.
DUTIES & RESPONSIBILITIES
Travel Coordination (Primary Operational Function) Review, process, and track incoming travel requests via the SOMC Travel Desk. Coordinate with BCD Travel (or other assigned agencies) to secure options for complex domestic and international travel. Research and recommend destinations, accommodations, airlines, and transportation to enhance travel efficiency and reduce costs. Communicate clearly with travelers to confirm itineraries, obtain necessary approvals, and finalize bookings. Ensure compliance with Seaboard's travel policies and approval processes. Maintain accurate records of all travel requests, approvals, and booking confirmations. Provide timely updates and reminders to travelers regarding ticketing deadlines and travel documentation. Support logistical coordination for group travel and executive-level itineraries. Maintain travel-related invoices and reconcile monthly credit card statements accurately and by the required deadline. Communicate any discrepancies, delays, or required clarifications promptly and clearly to ensure financial accuracy and accountability. Assist with travel reporting, metrics, and spend analysis. Support SOMC Home Leave coordination in partnership with Human Resources. Uphold discretion and confidentiality, especially for executive or sensitive travel. Assist the Travel Manager with special projects as needed. Human Resources & Organizational Development Support Provide administrative support to the Organizational Development Manager and HR team. Assist with coordination of training programs, workshops, and conference events, including travel logistics, materials preparation, and administrative support. Support planning of internal meetings, training sessions, and company conferences. Coordinate recruitment logistics, including scheduling interviews, confirming candidate availability, and preparing interview materials. Assist with travel coordination and visa documentation for training events, conferences, and visiting staff as required. Provide clerical support for HR programs, employee development initiatives, and departmental projects. Assist with onboarding logistics and scheduling of training or orientation activities. Maintain professionalism, discretion, and confidentiality when handling employee or HR-related information.
EDUCATION & EXPERIENCE
Minimum 2-3 years of experience in corporate travel coordination, HR administration, or executive/administrative support. Experience supporting Human Resources or Organizational Development activities preferred. Experience working with third-party travel management companies (e.g., BCD Travel) preferred. Familiarity with international travel requirements, visas, and home leave practices preferred. Strong organizational and time management skills with ability to manage multiple priorities. Experience supporting professional staff or leadership teams in a corporate environment preferred. Associate's degree in Business, Hospitality, Human Resources, Administration, or related field preferred. Proficient in Microsoft Outlook, PowerExcel, Teams, and business communication tools. Detail-oriented with strong follow-through and accountability.
