A Human Resources Administrative Assistant supports an organization or company's HR department by performing personnel-related administrative tasks. Maintains HR records by entering new hires, transfers, terminations, employee changes, salary increases. Assists employees with benefit information and new employee setup. Schedules and tracks weekly overtime and internal staff events.
We are seeking an on-site HR & Payroll Administrator to join our Corporate Human Resources team. This position includes processing multiple payrolls for our weekly office and monthly paid employees, uploading benefit deductions to carriers, processing HR related invoices while also supporting various HR functions. This role requires attention to detail, discretion, and a strong understanding of HRIS systems, preferably UKG Ready. The ideal candidate will be proactive, reliable, and enjoy maintaining efficient processes that support both employees and organizational goals.
Essential Responsibilities:
Process payroll for office hourly and salary employees, ensuring accuracy while meeting payroll submission deadlines. Upload files to benefit carriers such as 401k, Life Insurance, Health Saving Accounts and Flexible Spending Accounts. Assist in the preparation and submission of statutory reports and filings related to payroll and employee benefits. This includes reporting to the Bureau of Labor Statistics (BLS), US Equal Employment Opportunity Commission (EEOC), and new hire state reporting. Assist with HR audits and testing of new features of our HRIS system. Maintain company census data by collecting information from our plant locations and UKG Ready. Process weekly and monthly invoices related to payroll and HR. Assist with facilitating activities related to recruitment; including job postings, interviews, background screenings, and onboarding. Maintain and update company job descriptions as needed. Assists with open enrollment, wellness fairs, and annual United Way campaign. Respond to general inquiries in the General HR email and voicemail boxes; including items such as employment verifications, benefit inquiries, etc. Maintain monthly safety incentive program. Order items and fill safety orders for multiple locations. 3-5 years of experience in a similar role focusing on payroll, benefits, and HR related activities. Proficiency in using HRIS and payroll software for end-to-end payroll processing. UKG Ready is preferred. Proficient in using MS Office, particularly Excel, for data analysis and reporting. In-depth knowledge of payroll processes, reporting, and compliance requirements. Knowledge of relevant employment laws, regulations, and data protection requirements.
