Job Description
The Accounts Payable & HR Administrator will perform a full range of accounting functions for Hardesty, Inc., using Deltek ComputerEase accounting software. While mainly focused on AP & HR responsibilities, this multifaceted role will involve assistance in other areas of Hardesty, Inc.'s business. These functions are to include AP, HR, Payroll, online platforms, general administrative duties, management reporting, and project administration assistance. Working closely with Hardesty's administrative and executive staff members throughout their development and training, the Accounts Payable & HR Administrator will begin with a focus on Accounts Payable, with a view to then slowly integrate and absorb the other responsibilities of the role.
Role Responsibilities :
- Ensure timely and accurate processing of company payables
- Manage the company's invoices email account, as well as filing and processing mailed invoices
- Manage account payables to suppliers and subcontractors
- Update and analyze weekly accounts payables aging reports
- Compile and review AP reports & statements
- Post accounts payable data to accounting software and submit payables to the bank
- Manage vendors documentation & account maintenance (ACH, COIs, W9s, contacts, etc.)
- Manage subcontractors' documentation & account maintenance (ACH, COIs, W9s, MSAs, etc.)
- Compile and submit company credit applications with new and updated vendors
- Answer incoming phone calls, acting as the main point of contact for payable queries
- Maintain, develop and post to company's website and social media platforms
- Work closely with current Office Manager to manage payroll for the company, with a view to fully control in due course
- Onboard new employees, completing the relevant documentation and state filing
- Maintain employee information, including benefits, deductions, and certifications, as required
- Maintain company fleet in conjunction with Hardesty VP (MVA docs, tickets, insurance claims etc.)
- Perform project administration tasks as required (issuing POs, printing architectural drawings, etc.
Qualifications:
- High school diploma required, bachelor's degree in Business Administration, Human Resources, Accounting, or a relevant field preferred
- Three (3) or more years of experience in accounting and/or human resources preferred
- Knowledge of construction accounting and/or AIA billing is preferred
- Computer literacy, utilizing Microsoft Office and Google Workspace, with a particular strength in Excel
- Excellent communication & inter-personal skills
- Ability to organize, prioritize, and multi-task without extensive supervision
- Ability to work under pressure, meeting daily/weekly/monthly deadlines Problem-solving, mathematical, and analytical skills, as well as attention to detail
Benefits:
- Compensation to be based on 40 hours per week, 8am to 4:30pm, negotiable based on experience
