Position Summary:
Assists with day-to-day Human Resources operations and all Human Resources activities and functions in collaboration with the HR Manager.
Essential Functions:
Human Resources (95%) o Supports the HR department with the recruitment, hiring, and orientation process of new employees (e.g., placing employment ads, reviewing applications, screening, setting up interviews, completing background and reference checks, arranging orientation, managing the badge system, etc.) in conjunction with the management team & HR Manager o In collaboration with the Human Resources Manager, provides support to Managers throughout the hiring process, which encompasses sourcing, recruiting, and screening of potential candidates. o Provides operational support for the onboarding and offboarding processes in collaboration with the IT Manager. o Maintains personnel tracking and HR record keeping (electronic database & paper files) in compliance with law, regulations, and policies as assigned by the HR Manager. o Provides information/verifies employee status, wages, and benefits, to outside agencies, as requested. o Assists with updates and communication regarding employee policies and handbook. o Assigns, tracks, and produces reports for FTCA related to the LMS (training) system—currently Med Trainer. o Coordinates with the accountant to ensure a seamless HR/payroll system. o Coordinates clinical rotation placement, and onboarding as assigned. o Assist HR Manager with EEO reporting and plan renewals, e.g., updates of EEO codes, and other calculations. Benefits, Leave Coordination & Compensation o Oversee employee benefits programs as well as benefit enrollments, and explains employee benefits by conducting meetings, and preparing written or graphic announcements, presentations, and explanations. o Maintenance employee benefit records and ensures the accuracy of updates to employee payroll records. o Responds to employee questions regarding benefits and assists employees in resolving issues. o In partnership with the HR Manager, effectively manages FMLA, ADA, STD/LTD, and leave of absence (LOA) processes to ensure compliance and support for employees. o Collaborates with other members of the HR team to drive recruitment and retention strategies through the deployment of benefits programs that adhere to best practices and ensure the organization's competitive position in talent acquisition with the industry. o Administers Employee Recognition (Mission Award) Program. o In partnership with the HR Manager, evaluates compensation for competitiveness and internal equity and provides support, as needed, in researching salary range information Employee Engagement & Culture Reinforcement o Creates engaging monthly reports of birthdays and anniversaries to celebrate staff at all our clinic sites. o Serves as an open-door advocate for employees to share input and feedback regarding their employment. o Shares input from employees with the leadership team and others for the purpose of making changes to the work environment that meet employees' needs and expectations, where practical. Administrative Support (5%) o Supports Administrative Staff, as assigned, in Board meeting scheduling, set-up, Agenda and minutes preparation, and other duties as assigned. o Coordinates the onboarding process for new board members in collaboration with the Executive Director and IT Manager. Provides other administrative support as requested by Management.
Qualifications:
Associate's degree in human resources or related field and/or equivalent experience. Minimum of three years' human resources experience required. Knowledge of benefits and administration requirements in a clinic setting. Non-profit healthcare experience is a plus. Proficient in Microsoft Office Suite. Comfort in learning new computer programs. Project and other program development skills Able to work at and travel to any of NHS's clinic sites and to flex schedule to work occasional evenings for meetings, as needed. Demonstrated ability to effectively present information and respond to questions from staff Ability to: o Plan, organize and multitask. o Use a computer keyboard to type. o Speak, understand, read, and write English sufficiently to carry out all essential duties. o Work independently and as part of a team. o Work cooperatively and respectfully with others.
