Overview:
The HR Coordinator serves as the essential first point of contact for the Human Resources department, providing professional and responsive support to employees, leaders, and visitors. This role balances high-volume administrative tasks—including HRIS data management and onboarding coordination—with the responsibility of managing departmental communications. The ideal candidate is a detail-oriented professional who thrives in a front-facing environment and can pivot seamlessly between planned projects and emergent employee needs.Duties:
1. HR Administrative &;Data Support Record Management:
Maintains comprehensive employee files and documentation, ensuring all records are organized and stored in strict compliance with company standards and legal requirements.HRIS Transaction Management:
Processes essential employee lifecycle changes—including new hires, terminations, and status updates—within the HRIS with a high degree of accuracy and timeliness.Data Integrity:
Conducts regular reviews of HR platforms to ensure all employee data is complete, accurate, and reflects real-time changes. 2.Onboarding & Pre-Employment Coordination Pre-Employment Logistics:
Manages the end-to-end pre-employment process, including the coordination of background checks, drug screenings, and medical testing appointments.New Hire Integration:
Facilitates a smooth onboarding experience by scheduling orientation sessions and preparing all necessary new hire materials and physical welcome packets.Compliance Documentation:
Oversees the timely and accurate completion of critical day-one documentation, including Form I-9s, tax forms, and policy acknowledgments. 3.Communication & Correspondence Management Inbound Correspondence:
Manages the intake and distribution of all HR- related physical mail, ensuring sensitive documents are routed to the appropriate personnel or filed promptly.Communication Hub:
Serves as the primary point of contact for the HR department, professionally managing incoming phone calls and the general HR email inbox.Responsive Messaging:
Facilitates timely communication by vetting inquiries, providing initial responses, and ensuring all messages are tracked and followed up on by the relevant team members. 4.Employee Experience & Front-Line Service First-Line Support:
Serves as a primary, professional resource for employees regarding HR processes, company policies, and system navigation.Inquiry Resolution:
Provides responsive, high-quality service by resolving routine questions and effectively escalating complex issues to the appropriate leader.Resource Navigation:
Empowers employees by directing them to available tools and resources, ensuring a positive and helpful "face of HR" experience. 5.Compliance & Audit Readiness Audit Preparedness:
Maintains all HR documentation in an organized, "audit- ready" state to support internal quality controls and regulatory requirements.Compliance Tracking:
Monitors and tracks required employee training, certifications, and renewals to ensure the workforce remains in compliance with industry and company standards.Requirements:
Professional Experience:
1-2 years of experience in a professional office or administrative support role; previous exposure to a Human Resources environment is highly desirable.Educational Foundation:
Associate's or Bachelor's degree in Human Resources, Business, or a related field preferred; or an equivalent combination of education and experience.Technical Proficiency:
Skilled in Microsoft Office tools (Word, Excel, Outlook); experience with UKG Ready or similar HCM systems is highly preferred.HR Foundation:
