SUMMARY:
Coordinate all pre-employment hiring processes thru various systems maintaining up to date communication with the candidate, HR Managers and Hiring Managers, while ensuring legal compliance and company guidelines are followed.
EDUCATION AND/OR EXPERIENCE
Associate Degree and minimum of three years related HR experience, or equivalent combination of education and experience. Must maintain the highest level of confidentiality when dealing with HR documents, processes and situations or information. To perform this job successfully, an individual should have proficiency in Microsoft PowerPoint Design software; Google Chrome or Microsoft Edge Internet software; Microsoft Excel Spreadsheet software and Microsoft Word Processing software.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Prepare weekly job postings and forward to ESC; post internally and externally as appropriate. Coordinate and facilitate new hire process from job posting and application process to orientation . Serve as site administrator for Applicant Tracking System & pre-employment screening programs. Ensure accurate requisition entry, provide weekly orientation status update, maintain orientation calendar, etc. Maintain all necessary system records and tracking to support the Affirmative Action Plan. Prepare employment application/applicant tracking reports and daily/weekly reports as requested, including rehire eligibility. Create offer letters. Process pre-employment screenings (background checks, drug test, MVR's, Credit Check's). Receive and track results of pre-employment drug testing and background checks to clear employees for Orientation and inform Recruiter/HR Manager of results. Schedule orientation with new hires after all new hire tasks have been completed. Send onboarding forms via Dayforce and track completion status prior to orientation. Complete NC Youth Employment Certificate process for minors. Maintain file for employee referrals and sign on bonuses, if applicable, and send information to Payroll on appropriate dates. Conduct weekly New Hire Orientation sessions with Director of Training including completion of necessary paperwork. Serve as alternate trainer to facilitate orientation. Pre-scree candidates and complete necessary paperwork. Enter data into E-Verify and "board" new hire in system. Issue new employee I.D.s, nametags, etc. Send new hire reports to appropriate departments for processing. Ensure I-9 compliance of all newly hired Employees - including proper I-9 records storage/retention/destruction. Input new Employee information into payroll system and provide information to HR Coordinator to set up personnel files. Maintain employment applications and related documents according to legal guidelines. Coordinate storage of records and appropriate shredding/destruction of documents as required and approved. Collect and forward forms for possible tax credits. Answer inquiries and provide information to authorized persons. Compile data from personnel records and prepare reports as needed. Serves as the Welcome representative to all who enter the HR office and can assist or give direction. Cover Human Resources and Housing Coordinator's desk when that person is absent. Assist Recruiter/ HR Managers with recruiting events (recruiting calendar, supplies, etc.) and advertising as requested. Set up for all hiring events, new hire orientation, training and other events as requested. Assist when needed with Employee Housing and J1/TN Visa candidates and hires. Keep work area neat and organized to present a professional appearance of the department and to ensure compliance with privacy and document security regulations. Carefully check all documents and file information for accuracy. Continually looks for ways to streamline and improve administrative processes and procedures, and makes suggestions as appropriate. Assists with projects as assigned and keep VP and HR Managers apprised of progress on assignments/projects.
