We are seeking a highly organized, detail-oriented Human Resources Assistant to join our HR team. This position supports recruiting, onboarding, employee records management, HR compliance, and day-to-day administrative functions while providing exceptional service to our employees. What You'll Do:
Maintain employee personnel files in both electronic and paper formats. Scan, organize, and file employee documentation. Conduct periodic personnel file audits to ensure accuracy, completeness, and compliance. Assist with I-9 administration and recordkeeping. Maintain employee information within the Proliant HRIS system. Track employee training, certifications, and required compliance documentation. Prepare reports, spreadsheets, correspondence, and HR documents. Support document retention and personnel file digitization initiatives. Assist with HR projects and departmental initiatives. Post and manage job advertisements on recruiting platforms. Monitor applicant activity and maintain recruiting records. Schedule interviews and coordinate interview logistics. Communicate with candidates throughout the hiring process. Assist with recruiting initiatives and hiring events. Prepare onboarding packets and employment documentation. Assemble and maintain new hire personnel files. Coordinate pre-employment screenings and required employment forms. Prepare orientation materials and onboarding schedules. Provide onboarding support as needed. Welcome employees and serve as a professional first point of contact for routine HR questions. Assist employees with forms, documentation, and general HR information. Direct employees to the appropriate HR team member when additional assistance is needed.
Qualifications:
High school diploma or equivalent required. Associate degree in Human Resources, Business Administration, or related field preferred. Previous administrative, office, customer service, or Human Resources experience preferred. Excellent organizational and time management skills. Exceptional attention to detail and accuracy. Strong written and verbal communication skills. Ability to maintain confidentiality and handle sensitive information professionally. Proficiency in Microsoft Outlook, Word, and Excel. Ability to learn and effectively utilize the Proliant HRIS system. Ability to prioritize multiple responsibilities in a fast-paced environment. Why Join Index Packaging?
