Job Description

JOB FUNCTION
The Human Resource Assistant supports the Head Start program by managing day-to-day administrative human resources tasks and responsible for performing routine and advanced Human Resource administrative and clerical duties. This role plays a critical part in ensuring compliance with local, state, and federal Head Start Performance Standards, particularly regarding staff qualifications, background screenings, and mandatory training logs. This position may be required to travel to meetings, training, and collaborating and/or direct services centers.
ESSENTIAL FUNCTIONS
( Included but not limited to) Within the boundaries of approved Quality Care Policies and Head Start Program Performance Standards; the Human Resource Assistant is responsible for and has the authority to fulfill the duties listed below:
Compliance Tracking:
Maintain up-to-date employee files ensuring compliance with Head Start Performance Standards, NJ Office of Licensing regulations, and background check requirements.
Onboarding & Credentialing:
Coordinate onboarding for all Quality Care staff, ensuring prescreen process is complete (documentation is recorded and received). Including tracking required credentials like Child Development Associate (CDA) certifications, medical clearances, and TB tests, etc. Process benefit enrollments.
Recruitment Support:
Post open positions, screen resumes, schedule interviews, conduct telephone interviews and reference checks; including maintaining up-to-date candidate files.
Database Management:
Input and update accurate staff data in the ChildPlus data management system and/or other internal HRIS software.
Administrative Support:
Assist with tracking annual professional development hours, managing the HR calendar, and preparing reports for federal monitoring reviews. Provide backup coverage for Front Desk as needed. Other duties as assigned.
EDUCATION/EXPERIENCE
High school diploma or equivalent required; Associate or Bachelor's degree in HR, Business Administration, or related field preferred. 1-2 years of administrative experience; experience working in an early childhood education, non-profit, or Head Start environment is a plus. Exceptional organizational skills and high attention to detail for strict regulatory auditing. Ability to maintain absolute confidentiality regarding sensitive employee information. Attention to detail. Ability to work independently and as well as collaboratively.
Communication skills:
Ability to communicate with clientele and coworkers.
Interpersonal skills:
interact with a variety of people from different backgrounds.
Problem Solving:
ability to use critical thinking to solve problems and think creatively. Proficiency in Microsoft Office (Outlook, Word, and Excel).
Pay:
From $20.68 per hour Expected hours: 40.0 per week
