Focus areas include Youth, Seniors, Food Access, Case Management, Transportation, and the Farmer's Market, among other critical services for our area residents.Primary Role:
To provide professional level support to the administrative unit, specifically supporting the Human Resources function, and serving as a frontline resource for employees and applicants regarding routine HR processes. Additional reception/administrative support is provided as a backup to the Senior Administrative/Fiscal Assistant. Working under the direction of the Administrative Director, this position supports the employee lifecycle from recruitment through separation, including recruitment coordination, onboarding, personnel records, benefits administration, training coordination, HR communications, performance-management administration, and other routine human resource processes. The position requires a high degree of confidentiality, accuracy, organization, professionalism, and sound judgment. The Administrative/HR Assistant is expected to recognize when an issue requires the involvement of the Administrative Director or Executive Director. The HR/Admin Assistant does not independently make hiring, compensation, disciplinary, termination, employee-relations, or other employment decisions unless specifically delegated by the Administrative Director or Executive Director.Responsibilities:
Prepare HR correspondence including hiring communication, basic benefits information, performance related correspondence (as needed) Perform frontline hiring processes such as corresponding with candidates, scheduling interviews and preparing materials, basic resume screening as instructed, assisting with reference checks, and pre-employment screening Coordinate with Admin unit and assist with new employee orientation, onboarding/orientation, onboarding checklists, benefits enrollment/termination, and separation processes and checklists Maintain personnel files Track employee training, certifications, and performance dialogues. Coordinate logistics for these processes as needed Assist with HR audits and reporting Maintain employee leave records and assist with required documentation Answer routine HR inquiries, referring any larger concerns to the Administrative Director Assist with maintenance and retention of personnel files, digital and otherwise Assist with correspondence, requests for information, reproduction/collation, meeting/event preparations, and other logistics as needed Maintain internal admin calendars including interview appointments, benefits meetings, and personnel meetings (as needed) Assist with payroll preparation, including timecard verification, following up with supervisors regarding missing or incomplete payroll information Fax, copy, scan, and create documents Assist the Administrative Director with Board support as necessary Serve as backup for the Senior Administrative/Fiscal Assistant for opening and closing the main office/building as needed, including during absences, schedule changes, or other coverage needs Provide backup phone and reception coverage as needed, including during staff breaks, absences, or periods of high activity Assist with basic front-office coverage when necessary to ensure continuity of operations Perform these duties in accordance with established organizational procedures and security/confidentiality requirements Attend monthly Admin Team meetings and staff meeting Maintain regular attendanceRequired Skills and Behaviors:

Required:
Minimum 2 years of complex or high-level office experience Experience discretely handling confidential informationPreferred:
