HR Administrative Assistant
Job Description
The Human Resources department at NYM Group is accepting applications for a Human Resources Assistant. The successful candidate will be working as part of a team to provide general administrative and clerical support to the human resources department. The ideal candidate will possess strong organizational skills and a solid understanding of human resources management principles. This position is essential in ensuring smooth HR operations and fostering a positive workplace environment. Responsibilities Provide clerical and administrative support to the Human Resources function Compile and update employee records (hard and soft copies), which includes scanning documents into electronic employee files and organizing electronic files Process documentation and prepare reports relating to personnel activities (recruitment, training, performance evaluations, etc.) Coordinate special HR projects (meetings, training, surveys, etc.) Support onboarding processes of newly hired employees Assist with talent acquisition including job postings, screening, interview scheduling, follow-up, talent pipelines, and orientation Manage employee onboarding programs including welcome packages, introductions, coordination of training requirements Track benefit eligibility (i.e., new hires, qualifying life events, and annual enrollment) Order and manage inventory of company property Perform general office duties Provide administrative support across the organization Assist VP as needed Translate a variety of documents from one language to another, while maintaining the content, context, and tone of the original text. Proofread and edit translated materials to ensure accuracy, completeness, and fluency. Interpret for business meetings and events, conveying the message accurately and objectively. Conduct research on industry-specific terminology and translate technical documents as needed. Manage multiple projects and deadlines while maintaining high-quality work. Communicate with clients to clarify project requirements and ensure satisfaction. Maintain confidentiality and protect the integrity of sensitive information. Assist with the recruitment process by posting job openings, screening resumes, and coordinating interviews. Maintain and update employee records in the Applicant Tracking System (ATS) and other HR databases such as PeopleSoft and Taleo. Support workforce management initiatives by tracking employee attendance and performance metrics. Facilitate training development programs to enhance employee skills and career growth. Aid in conflict management by addressing employee concerns and facilitating resolutions. Ensure compliance with employment labor laws and company policies regarding contracts and employment practices. Provide administrative support to the HR department, including preparing reports and maintaining documentation. Qualifications Candidates should be bilingual, proficient in both Spanish and English. The ability to read, write, and speak fluently in both languages is preferred but not required. Ability to work autonomously on tasks assigned by supervisor or HR Director while also functioning as a team player within the HR group Ability to maintain discretion and confidentiality of HR data Juggle various administrative tasks in a timely manner Bilingual English and Spanish a plus but not required Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy. Proven office experience Proficiency in MS Office Excellent time management skills and the ability to prioritize work Attention to detail and problem-solving skills Excellent written and verbal communication skills Strong organizational skills with the ability to multi-task Proven experience in human resources management or a related field is preferred. Familiarity with ATS systems, such as Taleo or SAP, is highly desirable. Knowledge of workforce management principles and employment labor laws. Strong organizational skills with attention to detail. Excellent communication skills, both verbal and written. Ability to handle sensitive information with confidentiality. Proficient in Microsoft Office Suite; experience with HR software is a plus. Job Type:
Part-Time or Full-Time (to be determined)
Schedule:
Flexible, on-site position. Standard hours are Monday through Thursday, 8:00 AM to 4:30 PM, with Fridays off or 9:00 AM -3:00 PM . This role has the potential to transition to full-time in the future.
Compensation:
Hourly $19.00 - $28.00
