Job Description

Job Summary The Provider Onboarding and Retention Coordinator plays a crucial role in facilitating a seamless end-to-end onboarding and retention experience for new physicians and providers. Serves as a resource and guide to both candidates and Medical Staff leaders in the requisition, recruitment, onboarding, credentialing, retention and off-boarding processes. Supports new providers throughout the first year of employment with MVHS to promote a positive employee experience. This role works under the general direction of the Director of Physician Recruitment and in collaboration with the VP of Operations for the Medical Group. Core Job Responsibilities In close collaboration with the Director of Operations, assess and identify staffing requirements, present new position requests to senior Medical Group leadership, and facilitate strategic staffing decisions that support the overall operational efficiency and patient care objectives of the medical group. Manage and oversee the requisition process for new and replacement provider positions, ensuring that all job postings are effectively created and managed. Use the applicant tracking system to streamline the recruitment process. Oversee the candidate onboarding process, ensuring that all elements such as payor credentialing, medical staff credentialing, human resources documentation, orientation sessions, employee health appointments, and first-day procedures are efficiently organized and executed. Collaborate with various departments to facilitate a smooth transition for new hires and ensure compliance with all regulatory requirements, ultimately enhancing the overall onboarding experience. Work with the MVHS Medical Staff Office (MSO) to manage and organize credentialing information necessary for the development of a new physician credentialing file. Systematically manage onboarding and off-boarding documentation, ensuring that files are up-to-date and workflows are efficient. Present credentialing information to Service Line Directors, Employment Coordinators, Department Managers, Medical Staff, Payor Enrollment Credentialers, and other relevant staff. Ensure stakeholders are informed regarding staff transitions and credentialing processes. Develop tailored onboarding schedules that facilitate a smooth integration process for each new provider in collaboration with the Director of Operations, Medical Directors, and practice managers,. Ensure all necessary training, resources, and support systems are implemented to enhance their transition into the practice. Effectively communicate with incoming providers regarding their onboarding status. Provide clear updates on any outstanding items, ensuring that providers are fully informed and empowered to address any pending tasks promptly. Follow up and serve as a support to providers to enhance relationships and streamline the onboarding experience. Provide assistance to providers and their families in acclimating to MVHS and the Utica community. Schedule regular check-in meetings to monitor integration and address any orientation concerns. Maintain open lines of communication and foster a supportive environment to encourage engagement and promote long term commitment and successful retention. Follow up with new hires after employment has begun to determine satisfaction with the process and assess opportunities for improvement. Perform related duties as assigned. Education/Experience Requirements
REQUIRED
High school diploma required. Five years of related experience, to include one year of healthcare experience. Excellent project management, critical thinking and problem-solving skills. Demonstrates initiative, ability to organize, prioritize, meet deadlines and follow through. Excellent communication skills including marketing, persuasion and negotiation. Ability to establish rapport with physicians and build effective ongoing relationships with practicing physicians and administrators. Ability to prepare clear, concise, thorough, meaningful, and grammatically correct written communications and documents. Very strong customer service orientation, positive attitude, highly self-motivated, directed and change oriented. Advanced proficiency in various computer applications, e.g. word processing, excel spreadsheet, e-mail, database management and presentation software.
