$25.00 Position Summary The Manufacturing Clerk provides comprehensive administrative and operational support to the Plant Manager and site leadership team while serving as the primary point of contact for all visitors and incoming communications. This role plays a critical part in maintaining an organized, efficient, and compliant front office environment, including adherence to Safe Quality Food (SQF) standards related to facility access, visitor control, and food safety protocols. This position does not perform Human Resources functions or provide guidance on HR-related matters but supports administrative and logistical processes associated with plant operations and onboarding. Key Responsibilities Administrative & Operational Support Provide direct administrative support to the Plant Manager and leadership team Manage calendars, schedule meetings, and coordinate appointments Prepare meeting materials, agendas, and track follow-ups Assist in preparing reports, presentations, and operational documents Maintain organized filing systems (electronic and physical) Front Desk & Facility Coordination Serve as the first point of contact for all visitors, vendors, and contractors Manage front desk operations, including answering phones and greeting guests Control facility access by verifying identification, issuing visitor badges, and maintaining visitor logs Coordinate visitor entry in alignment with plant safety and food safety requirements Notify internal stakeholders of visitor arrivals and ensure proper escort procedures are followed Maintain a clean, organized, and professional front office environment SQF & Food Safety Compliance (Front Desk Responsibilities) Enforce visitor compliance with SQF (Safe Quality Food) standards and site-specific GMPs (Good Manufacturing Practices) Ensure all visitors: Sign in and complete required documentation (visitor logs, confidentiality forms, etc.) Review and acknowledge food safety and GMP requirements prior to entering production areas Are provided required PPE (hair nets, beard nets, safety glasses, etc.) Employee Support (Non-HR Administrative Only) Assist employees with basic administrative needs (e.g., password resets, system access coordination) Coordinate and schedule new hire orientations in partnership with corporate or off-site HR Prepare onboarding materials, badges, and schedules for new hires Serve as a general resource for directing employees to appropriate departments or contacts Scheduling & Coordination Coordinate travel, meetings, and site visits Schedule conference rooms and ensure readiness for meetings Assist with plant event coordination and leadership meetings Support scheduling logistics as directed by plant leadership Office & Administrative Support Maintain office supply inventory and place orders as needed Assist with invoice tracking, purchase requisitions, and administrative documentation Support communication distribution across the plant (announcements, postings, etc.) Scope & Limitations This role does not handle: Employee relations issues Disciplinary actions or investigations Compensation, benefits, or policy interpretation All HR-related matters must be escalated to corporate or designated HR support The role may support scheduling and logistics tied to HR processes but does not make HR decisions Qualifications High school diploma or equivalent required; associate degree preferred 2+ years of administrative or front desk experience, preferably in manufacturing Strong organizational, multitasking, and time management skills Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint) Strong communication and interpersonal skills Ability to handle confidential information with discretion Experience with controlled access environments or compliance-driven settings is a plus Key Competencies Professionalism and customer service mindset Attention to detail and accuracy Ability to enforce rules and procedures consistently (especially SQF/GMP compliance) Strong organizational and coordination skills Ability to maintain clear boundaries regarding HR responsibilities Benefits and Perks 401(k) 401(k) matching Dental insurance Disability insurance Employee assistance program Employee discounts Flexible spending account Health insurance Life insurance Paid elder care Paid time off Parental leave Professional development assistance Retirement plan Tuition reimbursement Vision insurance #body.unify div.unify-button-container .
