Job Description
PersonalHour Pilates US is seeking an organized, trustworthy, and people-focused Part-Time Human Resources Coordinator to support our growing team. This individual will manage essential HR administrative responsibilities, maintain accurate employee records, support hiring and onboarding, and help ensure that employees receive clear and consistent information regarding company policies, benefits, schedules, and workplace expectations. The ideal candidate is approachable, highly confidential, detail-oriented, and comfortable working directly with employees and company leadership. Key Responsibilities Employee Records and Documentation Maintain complete, accurate, and confidential employee files. Prepare employment offers, promotion letters, compensation updates, disciplinary documentation, and other HR records. Track employee start dates, employment status, compensation, time-off eligibility, and important employment documents. Ensure required employee forms and acknowledgments are completed and properly stored. Maintain confidentiality of employee, medical, payroll, and company information. Hiring and Onboarding Post job openings and review applications. Coordinate interviews with hiring managers and candidates. Communicate with candidates throughout the hiring process. Prepare offer letters and assist with background checks and other pre-employment requirements. Coordinate onboarding and ensure new employees receive the necessary policies, training information, equipment, and introductions. Confirm that all required W-2 employment documentation is completed. Employee Support Serve as an approachable first point of contact for routine employee questions. Help employees understand company policies, benefits, paid time off, attendance requirements, and workplace procedures. Respond professionally and fairly while maintaining appropriate confidentiality. Direct complex, sensitive, or legal matters to company leadership or outside HR and legal professionals. Support respectful communication between employees and managers. Attendance and Paid Time Off Maintain accurate attendance and paid-time-off records. Track employee absences, late arrivals, leave requests, and approved schedule changes. Help managers apply attendance and time-off policies consistently. Communicate recurring attendance concerns to the appropriate manager or company leadership. Benefits and Payroll Coordination Assist employees with health insurance enrollment and routine benefit questions. Communicate employee payroll changes, deductions, bonuses, and employment-status updates to the payroll provider. Review HR and payroll records for accuracy and promptly report discrepancies. Coordinate with external insurance, payroll, benefits, and HR service providers as needed. Policies and Compliance Help maintain and update the employee handbook, workplace policies, job descriptions, and HR procedures. Monitor required employee acknowledgments, workplace notices, and training. Support compliance with applicable federal, Ohio, and local employment requirements. Maintain organized documentation relating to employee performance, workplace concerns, accommodations, and leave. Escalate potential legal, safety, harassment, discrimination, retaliation, or compliance concerns immediately. Performance and Employee Development Help managers schedule and document employee performance reviews and one-on-one meetings. Maintain records of employee goals, training assignments, performance concerns, and development plans. Assist leadership with performance improvement documentation and follow-up. Support employee engagement, recognition, training, and workplace-culture initiatives. Required Qualifications Previous experience in human resources, employee administration, payroll coordination, recruiting, or a related role. Strong understanding of confidentiality and professional HR boundaries. Excellent written and verbal communication skills. Strong organizational skills and attention to detail. Ability to manage sensitive situations calmly, respectfully, and objectively. Proficiency with email, Microsoft Office, Google Workspace, spreadsheets, and digital recordkeeping. Ability to work independently, follow through on assignments, and communicate concerns promptly. Preferred Qualifications Associate's or bachelor's degree in human resources, business administration, psychology, or a related field. Experience supporting a growing small or mid-sized business. Familiarity with Ohio employment practices, W-2 onboarding, employee benefits, and payroll coordination. SHRM, PHR, or another HR certification is helpful but not required. Work Expectations Work approximately 10-20 hours per week based on business needs. Maintain a regular and dependable weekly schedule. Be available for occasional employee meetings, interviews, onboarding sessions, or urgent HR matters. Protect confidential employee and company information at all times. Work collaboratively with company leadership while applying policies consistently and professionally. Pay:
